Job Summary

We are seeking a highly skilled and experienced Executive Assistant to provide top-notch administrative support to our Senior Vice Presidents and Vice Presidents. As an Executive Assistant, you will be responsible for coordinating internal and external events, scheduling meetings, booking travel arrangements, and collaborating with cross-functional teams to ensure seamless execution of departmental needs.

Key Responsibilities
  • Event Coordination: Plan and execute internal and external events, including conferences, meetings, and product launches.
  • Travel Arrangements: Book travel itineraries, manage schedules, and ensure timely arrivals and departures.
  • Communication: Interface with senior executives, executive support professionals, and other stakeholders to ensure effective communication and collaboration.
  • Reporting and Analysis: Prepare regular reports and summaries, and collaborate on ad-hoc projects to provide insights and recommendations.
  • Calendar Management: Review and manage senior executives' schedules to ensure optimal use of time and resources.
  • Phone and Email Management: Direct phone calls, manage calendar changes, and respond to emails on behalf of senior executives.
  • Confidentiality: Handle extremely confidential and sensitive information with discretion and professionalism.
  • Administrative Tasks: Manage large purchase orders, vendor contracts, expense reports, and other administrative tasks.
  • Team Collaboration: Partner with executive support professionals to ensure smooth communication and collaboration across teams.
Requirements
  • Experience: At least 5 years of supporting C-Suite executives or equivalent experience.
  • Communication Skills: Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary.
  • Adaptability: Ability to adapt to changing priorities and deadlines, and to work in a fast-paced environment.
  • Technical Skills: Strong proficiency with Microsoft Office programs, SAP, Confluence, Concur, and other relevant software.
  • Reliability: Complete reliability in handling confidential information and maintaining confidentiality.
  • Professionalism: Professional demeanor, positive outlook, and a can-do attitude.
