Overview

The Client Relations Specialist plays a crucial role in delivering exceptional patient-centered services, ensuring that the unique needs and preferences of each patient are addressed throughout their service experience. This position serves as the initial point of contact for patients, whether in person or via phone, and is pivotal in shaping their overall experience. The Specialist will carry out various clerical tasks in line with departmental protocols, utilizing their understanding of policies to manage patient records, prepare necessary documentation, verify information, and resolve standard office inquiries.

Key Responsibilities include but are not limited to:

  • Upholding established clinical and clerical standards, adhering to the guidelines set forth in the Company Policy and Procedure Manual.
  • Utilizing provided scripts for patient interactions to ensure consistency and professionalism.
  • Handling incoming calls with appropriate scripting, exercising discretion to prioritize inquiries, and directing calls to the relevant personnel efficiently.
  • Welcoming patients warmly, collecting insurance information, and explaining the verification process while guiding them to complete necessary patient information forms.
  • Inputting patient admission details into the system and scheduling appointments in the clinic's calendar.
  • Processing payments and executing essential accounting tasks in accordance with departmental procedures.
  • Managing daily ledger reconciliations and preparing bank deposits as required.
  • Assisting with additional tasks as assigned by management and administrative staff.
  • Engaging in departmental quality improvement initiatives, participating in training programs, attending meetings, and demonstrating ongoing competency as per company standards.
  • Performing other related duties as necessary.

Qualifications

Education and Experience High School Diploma or Equivalent.

Language Proficiency Ability to read, analyze, and interpret technical documents or regulations. Capable of presenting information effectively and responding to inquiries from various stakeholders.

Problem-Solving Skills Ability to address practical issues and manage diverse variables in situations with limited standardization. Competence in interpreting a range of instructions provided in various formats.

Technical Skills Proficiency in EMR systems, DocuTap, Excel, and MS Word is essential for success in this role.
