About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at CEVA Logistics. As an Administrative Assistant, you will play a critical role in supporting our station operations and ensuring compliance with regulatory requirements.

Key Responsibilities
  • Perform station audits and internal audits, and prepare and submit Compliance Audit Reports (CARs).
  • Function as station timekeeper for reporting, tracking, and processing payroll.
  • Coordinate and maintain training records, including employee certifications and compliance training.
  • Process collections-related functions, including invoicing and payment processing.
  • Investigate and resolve billing and customer invoicing discrepancies, and ensure accurate and timely payment processing.
  • Print statements and invoices, run reports, research rate disputes, process invoice reprints, and audit House Air Waybills and Bills Of Lading.
  • Investigate and resolve past due accounts payable and receivable bills, and track and follow up to ensure timely payment processing.
  • Enter accounts payable entries into our system, and set up and process new vendors.
Requirements
  • High School Diploma or GED; Associate's Degree or equivalent combination of work experience and education, preferred.
  • Minimum one to two years related experience.
  • Minimum one year industry experience.
Preferred Skills
  • Intermediate proficiency in Microsoft Office, internet, web-based, and job-specific software applications.
  • Accurate typing skills and/or data entry skills.
  • Ability to add, subtract, multiply, and divide using units of U.S. currency, weight, volume, and distance measurements.
