Job Overview

Position Summary: The Finance Director is accountable for overseeing the financial activities of the organization, which encompasses accounting, auditing, taxation, treasury management, compliance with grant contracts, budgeting, payroll, accounts receivable, accounts payable, cost management, and monitoring allowable costs. This role also includes managing Human Resources through an external consultant. Reporting directly to the CEO, the Finance Director is a key member of the Executive Management team dedicated to fulfilling the organization's mission.

Key Responsibilities:

  • Preparation and analysis of financial statements to provide insights for management.
  • Design financial reports tailored to meet the needs of management.
  • Supervise and lead the Finance Department team.
  • Prepare federal grant quarterly and year-end reports.
  • Monitor activities to update distribution codes for Shared Cost Allocation.
  • Conduct periodic testing of the accounting system and maintain updates that affect financial data.
  • Perform all year-end reconciliations and prepare necessary reports and financial statements, including SEFA.
  • Coordinate year-end audits with external CPA firms.
  • Provide Form 990 Tax information to external auditors.
  • Oversee the review and negotiation of grant contracts.
  • Act as Payroll Administrator, processing bi-weekly payroll and filing federal and state quarterly returns.
  • Manage the Accounts Payable process to ensure timely payments.
  • Oversee the Accounts Receivable process for reimbursement requests.
  • Prepare the annual agency budget and analyze budget-to-actual reports.
  • Engage with program managers monthly regarding performance related to grant contracts and budgetary concerns.
  • Ensure adherence to internal control processes and procedures, implementing improvements as necessary.
  • Participate in proactive team efforts to achieve departmental and organizational goals.
  • Provide leadership through example and knowledge sharing.
  • Comply with all organizational policies, practices, and procedures.
  • Perform additional duties as assigned.

Qualifications:

  • Strong analytical skills to interpret technical, financial, and legal documents.
  • Ability to respond effectively to inquiries from various stakeholders.
  • Proficient in writing and presenting information to top management and public groups.
  • Mathematical proficiency, including understanding of probability, statistics, and financial ratios.
  • Ability to apply logical and scientific principles to diverse problems.
  • Proficient in personal computer applications, including email, recordkeeping, databases, word processing, and spreadsheets.
  • Capacity to manage multiple tasks and meet rigorous deadlines.

Education and Experience:

A Bachelor's degree in Business, Accounting, Finance, or a related field is required. A CPA license is preferred. Candidates should have a minimum of ten years of relevant experience in non-profit organizations, with a focus on:

  • Non-Profit Fund Accounting.
  • Application of U.S. GAAP and federal regulations related to grants.
  • Compliance with government funding rules and procedures.
  • Experience in federal grants management.
  • Supervisory experience in a similar role (3-5 years).
  • Familiarity with MIP Fund Accounting systems is a plus.
  • Experience in budgeting and expense management.
