The Theatrical Operations Financial Manager (TOFM) will possess extensive experience in the realm of theatrical management, showcasing exceptional organizational and financial acumen. This role requires outstanding written and verbal communication skills, along with a positive leadership style that fosters collaboration and inspires excellence among team members at all levels, both internal and external.

Reporting directly to the Chief Operating Officer (COO), the TOFM's primary responsibility is to ensure the successful execution of selected produced and presented events through effective financial oversight as guided by artistic leadership. The TOFM will serve as the key liaison between Programming and Operations/Production.

Located in a vibrant urban setting, the Straz Center offers a collaborative on-site work environment along with a comprehensive benefits package for full-time employees, including health/dental options and a generous retirement plan.

Key Responsibilities:

The TOFM will oversee (or provide necessary support to other project managers as applicable) the following prominent programming strands and events:

  • Opera Tampa productions (mainstage and additional performances)
  • Straz-produced theatrical presentations
  • Long-term Jaeb Theater engagements
  • Off-site immersive events
  • Opera Tampa Grand Gala
  • Opera Season Kick-off Event
  • Discover Opera / Open Rehearsals
  • Off-site community engagement initiatives
  • Broadway Ball
  • Culinary Events
  • Broadway Season Kick-off Event
  • Presidential Luncheon
  • Live in the Park
  • Community Open House
  • Various off-site performance requirements
  • Additional events as assigned.

The TOFM will typically collaborate with the COO, Chief Programming and Marketing Officer (CPMO), and the Senior Director of Programming or the Artistic and Managing Director of Opera Tampa on the following tasks:

  • Creation of budgets, financial projections, and event settlements, including:
    • Advancing technical requirements for production estimates
    • Coordinating financial plans and timelines with the production department
    • Maintaining current budgets with updated expenses and forecasts
    • Weekly financial reporting
    • Final event financial settlements
  • Contracting and licensing as needed.
  • Setting up audition logistics in partnership with artistic leadership or CPMO.
  • Developing, negotiating, and issuing all casting and creative contracts as directed by the production's casting director.
  • Creating payroll schedules and ensuring accurate execution.
  • Establishing rehearsal schedules and coordinating space reservations.
  • Conducting design and production meetings to ensure clear communication and budget adherence.
  • Attending select rehearsals and all technical rehearsals.
  • Arranging travel and accommodations for visiting artists or production team members.
  • Compiling necessary regulatory and insurance documentation.
  • Sourcing and ordering additional equipment, props, and costumes in collaboration with the design and production teams.
  • Maintaining regular communication with Company Management and Stage Management throughout all engagements.
  • Gathering feedback from House Management to enhance audience experience.
  • Planning and managing opening and closing events.
  • Keeping accurate and up-to-date files at all times.

Financial Management Duties:

In fulfilling the primary responsibilities outlined above, the TOFM will:

  • Prepare financial projections and budgets for all assigned events.
  • Ensure all productions remain within approved budgets unless otherwise authorized.
  • Provide weekly profit and loss projections to the Finance department.
  • Ensure timely and accurate settlements for all assigned events.
  • Maintain comprehensive event files in an accurate and current manner.
  • Track contract and payment statuses from planning through event closure.
  • Work with Finance to provide timely information regarding cash requirements for shows and other related expenses.

Institutional Responsibilities:

  • Support the COO and CPMO in achieving departmental initiatives and long-term programming goals.
  • Assist in the development of multi-year strategic plans and annual operational goals.
  • Research and identify programming opportunities that align with the Straz Center's strategic objectives.

Additional Responsibilities:

  • Contribute to team efforts in planning and development, promoting a spirit of cooperation.
  • Assist in departmental functions and special events as needed.
  • Perform other duties as assigned.

Qualifications:

  • Strong understanding of financial management in theatrical production.
  • Excellent communication and interpersonal skills.
  • Exceptional organizational skills with attention to detail.
  • Ability to collaborate effectively with diverse stakeholders.
  • Proven work ethic and results-driven approach.
  • Experience in live events and theatrical production is essential.
  • Proficiency in Microsoft Office Suite.
  • Ability to manage multiple projects and meet tight deadlines.
  • Must possess a valid driver's license.

Education and Experience:

  • 7 to 10 years of experience in theatrical or live event management.

Physical Demands:
