We are seeking a highly organized and detail-oriented Administrative Assistant to provide support to senior level executives and office operations in our Center City Philadelphia corporate office.

This is an in-office role that requires flexibility and a commitment to delivering exceptional service to our team members.

Key Responsibilities
  • Manage a broad range of administrative tasks, including tracking project status, managing calendars, and completing expense reports.
  • Coordinate conference room meetings, IT requirements, and visitor arrivals.
  • Monitor the front desk reception area, meeting rooms, and maintain a clean and organized environment.
  • Sort and distribute mail and shipments, generate shipment labels, and contact vendors as needed.
  • Arrange logistics for office-wide social and celebratory events.
  • Maintain confidentiality when handling sensitive information.
  • Practice safe work habits and perform other duties as requested by management.
Requirements
  • Administrative experience supporting corporate offices and/or company executives.
  • Proficient in MS Office applications, particularly Excel and PowerPoint.
  • Preferred experience using Google's email platform.
  • Strong written skills and interest in internal and external communications.
  • Onsite role based in Philadelphia.
