Administrative Coordinator

We are seeking a highly organized and detail-oriented Administrative Assistant to provide support to senior level executives and office operations in our Center City Philadelphia corporate office.
The ideal candidate will have a strong analytical mindset, excellent communication skills, and the ability to work independently on projects from conception to completion.
This is an in-office role that requires flexibility and a commitment to delivering exceptional service to our team members.
Key Responsibilities- Manage a broad range of administrative tasks, including tracking project status, managing calendars, and completing expense reports.
- Coordinate conference room meetings, IT requirements, and visitor arrivals.
- Monitor the front desk reception area, meeting rooms, and maintain a clean and organized environment.
- Sort and distribute mail and shipments, generate shipment labels, and contact vendors as needed.
- Arrange logistics for office-wide social and celebratory events.
- Maintain confidentiality when handling sensitive information.
- Practice safe work habits and perform other duties as requested by management.
- Administrative experience supporting corporate offices and/or company executives.
- Proficient in MS Office applications, particularly Excel and PowerPoint.
- Preferred experience using Google's email platform.
- Strong written skills and interest in internal and external communications.
- Onsite role based in Philadelphia.
