Job Description

We are seeking a highly organized and detail-oriented Administrative Support Professional to join our team at Vets Hired.

About the Role

This is a full-time position that will provide administrative support to our employees, ensuring the smooth operation of our office.

Responsibilities
  • Administrative Support: Provide confidential and time-sensitive administrative support to assigned staff, including preparing meeting agendas, scheduling meetings, and taking minutes as required.
  • Scheduling and Organization: Schedule and organize activities such as meetings, travel, conferences, and interviews for assigned staff.
  • Communication and Reception: Answer phones, distribute mail, and process expense reimbursement for assigned staff.
  • Desktop Publishing: Perform desktop publishing activities of both routine and advanced nature, including creating reports, correspondence, and presentations using Adobe software.
  • Team Support: May support other teams, such as Marketing, with various administrative tasks.
  • Reception Coverage: May provide back-up coverage for reception on a regular basis as needed.
Qualifications
  • Education: High school education; college level preferred.
  • Experience: Typically with 5+ years of related experience.
  • Skills: Experience in MS Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams. Knowledge of Adobe software, including InDesign and Illustrator, preferred.
  • Interpersonal Skills: Strong interpersonal skills and the ability to interact with all levels of staff.
  • Confidentiality and Ethics: Ability to maintain appropriate degree of confidentiality and adherence to the practice of business ethics.
  • Communication: Ability to communicate in a clear, concise, and professional manner both verbally and in writing.
  • Problem-Solving: Ability to proactively problem solve and collaborate on innovative solutions.
  • Teamwork: Ability to work in a team environment.
  • Time Management: Ability to prioritize tasks to meet multiple deadlines and respond to changes at short notice.
  • Multitasking: Ability to work on multiple projects at the same time.
Compensation

The estimated salary for this position is $65,000 - $85,000 per year, depending on experience.
