Administrative Assistant - Director Role

UMC Health System seeks an exceptional administrative professional to join our team as an Administrative Assistant - Director. This role provides critical support to the Department Director and other leadership members, ensuring seamless operations and fostering a positive work environment.

Key Responsibilities
  • Provide administrative support to the Director, Assistant Director, and other leadership members, including calendar management, mail, expense reports, and document preparation.
  • Greet and assist visitors, both internal and external, via phone or in person, ensuring excellent customer service.
  • Respond to patients, family members, vendors, and internal employees on behalf of the assigned Director, maintaining confidentiality and diplomacy.
  • Coordinate department meetings, individual staff meetings, webinars, and other events, utilizing technical skills and attention to detail.
  • Prepare PowerPoint presentations, spreadsheet analytics, and other materials as assigned by the Director, demonstrating creativity and analytical skills.
  • Manage purchase order requests, invoice payments, and supply ordering, exercising financial acumen and organizational abilities.
  • Assist with maintaining the KRONOS Time and Attendance System, ensuring accurate timekeeping and compliance.
  • Ensure office equipment is in working condition, troubleshooting or initiating repair or purchase orders as needed.
Requirements
  • High School Diploma or GED
  • +2 years of executive administration experience
  • Proficient user of Microsoft Word, PowerPoint, and Excel
