POSITION OVERVIEW:

The primary responsibility of this role is to effectively manage and support the needs of our key clients. This includes providing essential information such as pricing, delivery schedules, and product details, while facilitating communication between clients and internal teams. You will handle customer inquiries via phone and email, process orders, and prepare monthly sales forecasts. Additionally, you will coordinate both domestic and international shipping documentation and determine the most suitable delivery methods.

KEY RESPONSIBILITIES:

  • Act as the main point of contact for customer service inquiries via phone and email.
  • Maintain comprehensive key account data, including sales information and contract delivery timelines.
  • Address pricing and availability inquiries and provide associated quotes.
  • Assist in preliminary qualifying questions for Requests for Quotes (RFQs).
  • Review Open Order Reports based on customer requests.
  • Prepare and manage Excel spreadsheets for data tracking.
  • Track RFQs through the system prior to the quoting stage.
  • Verify order delivery dates and resolve any delivery delays.
  • Input orders into the JD Edwards (JDE) system and manage any changes.
  • Resolve customer issues by collaborating with various departments such as Production Control, Purchasing, and Accounting.
  • Support the Strategic Account Manager as needed.
  • Escalate unresolved customer issues through the appropriate channels.
  • Coordinate and issue Return Authorizations.
  • Adhere to the International Traffic in Arms Regulations (ITAR), ensuring compliance with citizenship requirements.
  • Follow health and safety policies and procedures.
  • Uphold company values, emphasizing ethical conduct and integrity in all actions.
ADDITIONAL RESPONSIBILITIES:
  • Participate in relevant meetings, such as RFQ and Sales Administration Meetings.
  • Prepare reports and spreadsheets as requested for sales department activities.
  • Contribute data for forecasting efforts.
  • Monitor emails for new or revised Purchase Orders.
  • Manage open order reports weekly for all customers.
  • Track orders exceeding $10k and manage them weekly.
  • Engage daily with supply chain, engineering, and quality teams on various issues and updates.
  • Ensure compliance with Trade Regulations for international orders.
  • Review pricing history for discrepancies and update pricing strategies accordingly.
  • Oversee customer repairs through the current process until the funded Purchase Order is received and the repaired unit is shipped.
  • Share customer insights with all departments to enhance understanding of customer needs.
  • Support various internal stakeholders with information and data as required.
  • Comply with Clean Room Protocols when necessary.
EDUCATION AND EXPERIENCE:

A minimum of an Associate degree (A.A.) or equivalent from a two-year college or technical school, or four years of related experience and/or training, or a combination of education and experience.

MATHEMATICAL SKILLS:

Ability to perform calculations involving discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

PHYSICAL REQUIREMENTS:

Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds occasionally. Travel may be required to meet with clients or potential clients.

OTHER REQUIREMENTS:

Certain positions may require access to controlled goods and technologies subject to ITAR or Export Administration Regulations. Applicants may need to be classified as 'U.S. Persons' as defined by these regulations.
