Dewberry is in search of a meticulous Office Coordinator to provide essential support to the Transportation Business Unit at our corporate headquarters.
The selected candidate will work closely with the Business Unit Manager and Executive Assistant, facilitating the operations of a team of approximately 100 professionals across multiple locations.
This position requires on-site presence, with discussions regarding telecommuting options available during the interview process.
The role encompasses a variety of responsibilities that demand excellent communication and teamwork skills, including project account initiation, financial report generation, submission of progress updates and invoices, document proofreading, project documentation assistance, and general office management.

Key Responsibilities:
Administrative Duties:
- Manage confidential information with utmost discretion
- Organize and maintain both electronic and physical project-related files
- Procure office and kitchen supplies
- Handle incoming and outgoing mail, including project correspondence and deliverables
- Schedule meetings and coordinate events, including catering services
- Assist in arranging travel logistics
- Monitor proposals and change orders using internal systems
- Perform additional administrative tasks as needed
Financial Responsibilities:
- Process agreements and invoices for subcontractors
- Support financial management tasks, including contract initiation, reviews, and closures
- Track outstanding invoices and their payment statuses
- Aid project managers in preparing progress reports, invoices, and payment requests
- Create and distribute regular financial reports (monthly, quarterly, or as required)
Qualifications:
- Preferred Bachelor's degree
- Minimum of 6 years of experience in bookkeeping or accounting
- Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Adobe Acrobat
- Strong mathematical skills for financial reporting
- Virginia Notary license is a plus
- Experience in Engineering or Architectural firms is advantageous
- Ability to enhance work efficiencies through technology
- Service-oriented mindset with a flexible, proactive approach
- Strong organizational skills to prioritize tasks effectively
- Initiative to retain information and perform repetitive tasks efficiently
