Position Overview:

The PULSE Lab at Johns Hopkins University is seeking a diligent and organized PULSE Laboratory Administrative Coordinator to undertake a range of administrative and clerical responsibilities.

Key Responsibilities:

  • Provide essential support to the lab director and team members.
  • Assist with daily operational tasks and ensure smooth office functioning.
  • Coordinate travel arrangements and meeting logistics.
  • Prepare comprehensive reports and maintain organized filing systems.
  • Manage scheduling for various activities, including invited talks and meetings.
  • Track hours dedicated to different projects and send timely reminders.

Document Preparation:

  • Draft administrative documents for grant submissions, including budget justifications and compliance protocols.
  • Update and maintain the lab manual to reflect current practices.
  • Assist with travel-related tasks, such as conference registrations and reimbursements.

Communication and Outreach:

  • Proofread and prepare materials for grants and publications.
  • Manage updates for the lab's website and social media platforms.
  • Compile news reports and maintain a record of lab projects and collaborations.

Financial Management:

  • Monitor charges to the lab director's accounts and assist with purchasing requests.
  • Prepare budget projections and support the completion of progress reports.

Qualifications:

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Strong time management and organizational skills with attention to detail.
  • Excellent written and verbal communication abilities.
  • High School Diploma or equivalent; some college coursework in Biological Sciences preferred.
  • One year of relevant laboratory experience is desirable.
