Position Overview:
The Service Appointment Coordinator plays a crucial role in ensuring that all repairs are efficiently managed, repair orders are finalized, and all financial transactions are accurately processed. This position also involves executing additional tasks as directed by the Warranty Manager or Service Manager.
Key Responsibilities:- Deliver work that meets or exceeds the Service Customer Satisfaction Index rating, aligning with the standards set by the manufacturer, region, or dealership.
- Examine repair orders for completeness, precision, and clarity, adhering to the relevant policies and procedures.
- Return any repair orders that are not properly completed to the originating personnel for necessary corrections.
- Identify and input the correct labor operation codes, failure codes, parts stamps, and other required administrative data onto the repair orders.
- Translate Technicians' comments into appropriate damage codes and operation codes.
- Allocate the correct hours earned by Technicians based on the operations performed, in accordance with manufacturer guidelines.
- Process receipts, refunds, credits, or change due to customers accurately.
- Collaborate with the Warranty Administrator to verify repair orders against vehicle service histories to prevent duplicate claims and ensure Technicians do not receive double compensation.
- Support Service Advisors in finalizing open warranty repair orders.
- Assist management with various projects, audits, reports, and other tasks as needed.
- Maintain a clean and organized counter display.
- Calculate and document transaction totals accurately.
- High school diploma or equivalent (GED), or a minimum of two years of relevant experience and/or training, or a suitable combination of education and experience.
- Strong communication skills, both verbal and written.
- Professional email and telephone etiquette.
- Intermediate proficiency in Microsoft Office Suite.
- Bilingual proficiency in English and Spanish is preferred.
