Job Overview
In this role, you will oversee the comprehensive management of records, ensuring the highest standards of quality and efficiency. You will be tasked with developing and implementing streamlined processes for the retrieval and proper disposal of documented information, while providing exceptional service to clients.
Key Responsibilities
- Lead the records and documentation management program at a designated client site, ensuring smooth processing, classification, and integration of materials into the records systems.
- Facilitate timely retrieval and referencing of essential information.
- Assess the records management requirements of clients and design effective programs to address those needs, collaborating closely with staff to align information systems with organizational goals.
- Manage both on-site and off-site components of the records program, conducting audits of records created and stored within the organization.
- Establish and maintain databases for efficient information control and retrieval, ensuring compliance with corporate and client policies regarding record disposal and archiving.
- Formulate and implement procedures, policies, and rules related to records and information management, ensuring adherence to relevant regulations.
- Provide training to client staff as necessary and assist in developing disaster recovery plans to safeguard access to critical information.
- Supervise staff by recruiting, mentoring, and evaluating performance, while also providing training and development opportunities.
- Monitor quality control metrics and compile monthly statistical reports on records management activities.
- Assist users in managing costs associated with information creation, storage, and retrieval.
Qualifications
- Preferred: 4-year college degree.
- 2-4 years of supervisory experience in a professional environment, ideally within records management; experience in law or insurance firms is advantageous.
- Strong customer service skills and a professional demeanor are essential.
- Ability to establish credibility with clients and staff.
- Excellent communication, writing, and managerial skills are critical.
- Proficient in research and data management, with the ability to interpret and summarize complex information.
- Experience with automated records management systems and filing systems.
- Ability to ensure project completion in accordance with established timelines and procedures.
- Experience in monitoring departmental operations and providing guidance as needed.
- Knowledge of both manual and automated records management systems.
Physical Requirements:
- Ability to lift and/or move up to 40 lbs occasionally.
