Job Title: Release of Information/Medical Records Supervisor

Job Summary:

We are seeking a highly skilled and experienced Release of Information/Medical Records Supervisor to join our team at VRC Companies. The successful candidate will be responsible for overseeing the daily operations of the Release of Information Team, ensuring the privacy and security of protected health information, and providing exceptional customer service to our clients.

Key Responsibilities:
  • Supervise a team of Release of Information Specialists and direct their daily workload through the ROI Workflow System.
  • Oversee daily work activities, ensuring compliance with all Service Level Agreements (SLAs) and state/federal regulations.
  • Ensure all staff members are properly trained and following established procedures.
  • Monitor the status of requests to ensure timely and efficient completion.
  • Manage resources, including staff members, time, and finances, to ensure the team can work effectively and efficiently.
  • Process all requests for release of information, verifying the requestor type and release requirements in accordance with HIPAA guidelines and VRC Policy.
  • Evaluate staff performance, completing performance appraisals and identifying areas for improvement.
  • Reproduce the requested information according to SLA timeframes and in accordance with the authorization and/or legal requirements.
  • Resolve issues, investigate complaints/concerns related to release of information, and take corrective action as needed.
  • Verify the accuracy and quality of reproduced work and data entry prior to providing information to the requestor.
  • Lead staff by demonstrating good work ethics, professionalism, and dedication to the job.
  • Generate cover letters, prepayment invoices, and mail information to the requestor.
  • Confirm staff members complete all required employee training, including HIPAA and ROI procedures.
  • Communicate effectively with authorized parties, upper management, and other stakeholders.
  • Provide training to VRC sales staff for ROI procedures and processes as needed.
  • Provide customer support for our national client base when necessary.

  • Communication Skills: A Release of Information Supervisor should have excellent communication skills, both verbal and written.
  • Attention to Detail: A Release of Information Supervisor must pay close attention to detail to ensure that confidential information is released only to authorized parties.
  • Compliance Knowledge: A Release of Information Supervisor should have a strong understanding of confidentiality laws and regulations.
  • Problem-Solving Skills: A Release of Information Supervisor should be able to identify problems and come up with solutions to overcome them.
  • Interpersonal Skills: A Release of Information Supervisor should have excellent interpersonal skills to build strong relationships with staff members, customers, and other stakeholders.
  • Organizational Skills: A Release of Information Supervisor must have strong organizational skills to manage resources effectively and efficiently.

Education and/or Experience:

  • Associate Degree required, Bachelor's Degree preferred.
  • Minimum 2 years supervisory experience required.
  • Minimum 2 years relevant experience required.
  • Must be able to pass a criminal background check, credit check, pre-employment drug screen, and motor vehicle record check.
