Job Summary

Ascend is seeking a highly skilled and organized Senior Property Assistant to join our team. As a key member of our property management team, you will be responsible for providing administrative support to our management team, ensuring the smooth operation of our properties.

Key Responsibilities
  • Provide administrative support to the management team, including answering phones, greeting visitors, and assisting with work orders.
  • Prepare and update files, ensuring completeness and accuracy.
  • Manage and track certificates of insurance, ensuring compliance with all coverage levels.
  • Coding and entering invoices into the accounting system.
  • Manage the new tenant welcome and orientation program.
  • Compose and send communications, including events, updates, rent statement information, and specific building issues.
  • Revising and distributing updated property manuals, including the Tenant Handbook, Team Handbook, Hazard Communication Program, Building and Tenant Emergency Response Manuals, Space Utilization Guide, and Lease Summary Book.
  • Plan and support appreciation events, a quarterly responsibility.
Requirements
  • 2 years of previous administrative coordinator experience.
  • Highly proficient in Microsoft Word, Excel, and Outlook.
  • Professional, reliable, flexible, and have a positive, can-do attitude.
  • Excellent attention to detail with strong customer service skills and ability to prioritize.
  • Ability to communicate well in both written and verbal communication forms.
  • Proactive attitude and volunteers willingly to take on additional responsibilities and assist with other team members' projects.
