Job Summary:

The Administrative Coordinator will provide administrative support to the Sheriff's Office, performing a variety of complex and diverse tasks, including office, clerical, and administrative work. This role requires excellent organization, time management, and computer skills to ensure timely, accurate, and efficient work product.

Key Responsibilities:

  • Process legal documents, maintain confidentiality, and perform general clerical work, including filing, data entry, and preparing civil process for service.
  • Coordinate work with other staff within the law and justice system, as well as the Auditor's and Treasurer's offices.
  • Assist the Chief Civil Deputy with preparing deposits and transmittal of department's daily funds.
  • Communicate with the Prosecuting Attorney's office regarding the status of service for cases under prosecution.
  • Process fingerprinting of criminals and the general public for various licenses, permits, and background checks.
  • Prepare and provide Sheriff's Office reports for insurance companies, state victim's assistance programs, and other agencies.
  • Maintain extensive inventory for the Sheriff's Office, Dispatch Center, Department of Emergency Management, and Jail.
  • Code and enter all Sheriff's Office and Department of Emergency Management accounts payable invoices into the county accounting system.
  • Order and maintain office supply inventory and small equipment purchases for the entire Sheriff's Office.
  • Request travel advance funds and ferry tickets for staff and prepare vouchers accounting for funds.
  • Assist dispatchers with inputting arrest records and PCN into the department database.
  • Report to the Emergency Operations Center for administrative, dispatching, and call-taking duties as assigned.

Requirements:

  • Associate's Degree and 4 years of administrative office experience, or any equivalent combination of education, training, and experience.
  • Must successfully complete Sheriff's Civil Function - Basic training through the Washington State Criminal Justice Training Commission within one year of hire.
  • Experience with Eden, Spillman, Laserfiche, SharePoint, and/or GovQA is a plus.
  • Demonstrated proficiency in Microsoft Office.

Work Environment:

The Administrative Coordinator will work in an office environment with occasional field work to assist the Chief Civil Deputy. The position requires continuous sitting and operation of a computer, as well as talking and hearing in person and on the phone.
