Position Overview

The role of the Tax Support and Reception Specialist is vital for the efficient functioning of our office environment. This position serves as the initial point of contact for clients and visitors, ensuring a welcoming and professional atmosphere. The individual will also provide assistance with tax documentation and various administrative responsibilities to support our tax professionals.

Key Responsibilities

Tax Documentation and Processing Support:

  • Assist in the compilation and organization of tax returns and associated documents.
  • Verify the accuracy and completeness of prepared tax documents.
  • Maintain client records in both physical and digital formats.
  • Collaborate with tax professionals to ensure timely task completion.
  • Draft engagement letters and other client communications.
  • Support the processing of tax returns and the preparation of Forms W-2 and 1099.

Reception Responsibilities:

  • Welcome clients and visitors with a courteous and professional demeanor.
  • Manage incoming phone calls, directing them appropriately and taking messages as necessary.
  • Oversee the reception area, ensuring it remains tidy and organized.
  • Coordinate and confirm client appointments.
  • Handle incoming and outgoing correspondence and packages.

Administrative Support Duties:

  • Conduct general administrative tasks including data entry, photocopying, and scanning.
  • Manage office supplies and inventory levels.
  • Prepare engagement letters and invoices for clients.
  • Generate reports as required.
  • Proofread documents for accuracy.
  • Assist in organizing office events and meetings.
  • Support special projects and initiatives as the liaison for firm operations when needed.
Qualifications
  • High school diploma or equivalent; a Bachelor's degree is advantageous.
  • 3-5 years of experience in assembling, processing, or preparing individual and/or business tax forms.
  • Familiarity with accounting software, such as QuickBooks.
  • Prior experience in a receptionist or administrative capacity, ideally within a CPA or professional services firm.
  • Strong business acumen is essential.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Exceptional verbal and written communication skills.
  • Strong organizational abilities and meticulous attention to detail.
  • Capability to manage sensitive and confidential information with care.
  • Ability to work independently as well as collaboratively within a team.
  • Motivated to develop and grow within a business tax and advisory services firm.
  • Professional appearance and demeanor are required.
