Tax Assistance Responsibilities:- Support the assembly, processing, and organization of tax returns and associated documents.
- Manage tax record intake, prepare files for digitization, communicate with clients regarding any missing information, and ensure that all documentation is complete.
- Compile and electronically file tax forms, ensuring clients receive the final product and that complete records are maintained.
- Organize and maintain client records in both physical and digital formats.
- Prepare Forms W-2 and 1099.
- Welcome clients and visitors with professionalism.
- Handle incoming phone calls and direct them appropriately.
- Oversee the reception area to ensure a pleasant experience.
- Schedule and confirm appointments for clients.
- Manage incoming and outgoing correspondence and packages.
- Conduct general administrative tasks such as data entry, photocopying, and scanning.
- Oversee office supplies and inventory management.
- Draft engagement letters, invoices, reports, and other correspondence while proofreading documents for accuracy.
- Assist in organizing office events and meetings.
- Support special projects and initiatives as the liaison for firm operations.
- High school diploma or equivalent; a Bachelor's degree is advantageous.
- 3-5 years of experience in assembling, processing, or preparing individual and/or business tax forms.
- Proficiency in accounting software such as QuickBooks and MS Office (Word, Excel, Outlook).
- Prior experience in a receptionist or administrative capacity, preferably within a CPA or professional services environment.
- Strong business insight.
- Exceptional verbal and written communication abilities.
- Excellent organizational skills and attention to detail.
- Professional appearance and demeanor.
