Administrative Support Specialist

Job Summary
We are seeking an experienced Administrative Support Specialist to join our team at Stantec. As a key member of our administrative team, you will provide high-level administrative support to our team, ensuring seamless day-to-day operations.
Key Responsibilities
- Provide exceptional administrative support to our team, including meeting and greeting office visitors, maintaining sign-in/sign-out logs, and handling visitor badging.
- Order and maintain office supplies, ensuring a well-stocked and organized workspace.
- Edit and format correspondence, presentations, proposals, and reports as requested, demonstrating strong written and verbal communication skills.
- Manage calendars, schedule meetings, book meeting rooms and workstations, and handle special requests, including food orders.
- Process invoices and orders, ensuring timely and accurate completion.
- Perform clerical tasks, including data entry, filing, photocopying, scanning, and other administrative duties as required.
- Responsible for office upkeep, including cleaning up after meetings and maintaining a safe and healthy work environment.
- Manage records and perform other administrative duties as required.
Qualifications
- Excellent organizational skills and attention to detail, with the ability to work in a fast-paced environment.
- Strong written and verbal communication skills, with the ability to effectively communicate with team members and stakeholders.
- Versatility, flexibility, and willingness to work within frequently changing priorities.
- Ability to take initiative and work independently, with minimal supervision.
- Flexibility to learn new skills and adapt to changing technology.
- Proficiency in MS Office Suite, with the ability to learn new software and systems.
Education and Experience
High School Diploma or equivalent with a minimum of 2-3 years' experience, or Post-secondary degree in a related field, or equivalent combination of education and experience.
Work Environment
This is a full-time position in a typical office environment, working with computers and occasionally lifting up to 25 pounds. The ideal candidate will be able to remain sedentary for long periods of time and perform tasks that require manual dexterity.
