Job Summary
The Administrative Assistant to the Director provides high-level administrative support to the Director of the School of Plant and Environmental Sciences. This role requires a high degree of confidentiality, discretion, and professionalism.
Key Responsibilities
- Act as the Director's representative and liaison to faculty, staff, students, and external stakeholders.
- Manage the Director's calendar, ensuring seamless coordination of meetings, appointments, and travel arrangements.
- Compose and proofread correspondence, reports, and other documents on behalf of the Director.
- Develop and maintain a comprehensive understanding of the university's programs, policies, procedures, and services to provide informed referrals and support.
- Coordinate tenure-track faculty hiring, including advertising positions, organizing interview itineraries, and onboarding successful applicants.
- Assist with evaluations of SPES personnel, including setting up meetings with the Director and ensuring compliance with Provost guidelines.
- Prepare confidential documents, such as promotion and tenure files, and ensure adherence to university policies and procedures.
- Maintain the SPES listservs and coordinate annual and special events.
- Provide backup support to other HR team members and perform other duties as assigned.
Requirements
- Bachelor's degree in communication, organizational management, administrative support, or a related field.
- Demonstrated experience providing executive-level administrative assistance and project support.
- Proficiency with Microsoft Suite, PageUp, and HR Banner, with a willingness to learn new software as required.
- Experience working in a confidential setting and ability to maintain confidentiality.
