Position: Accounts Payable Clerk

Department: Administration

Work Schedule: Full-time, 40 hours/week, Monday to Friday, 8:00 AM - 4:30 PM

Compensation: $22.86/hour

Role Responsibilities:

The Accounts Payable Clerk plays a crucial role in ensuring timely processing of all agency expenditures, alongside performing various clerical and entry-level accounting tasks.

Key Duties Include:

  1. Reviewing, auditing, and processing vendor and employee expense claims, ensuring compliance with documentation requirements.
  2. Accurate coding, data entry, and posting of invoices into the general ledger.
  3. Preparing payment disbursements in a timely manner.
  4. Conducting monthly reconciliations for all company credit cards.
  5. Collaborating with internal and external stakeholders to maintain accurate and error-free accounts.
  6. Assisting with corrections to the general ledger and conducting financial report analyses as needed.
  7. Organizing and maintaining vendor and voucher files in accordance with compliance standards.
  8. Preparing annual 1099-Miscellaneous Income tax forms, including maintaining updated vendor records.
  9. Managing daily mail distribution and assisting with monthly financial close processes.
  10. Conducting special projects, including data research and evaluation.
  11. Providing general administrative support to the department as required.
  12. Ensuring confidentiality of all Protected Health Information (PHI) in accordance with HIPAA regulations.
  13. Performing additional duties as assigned.

Qualifications:

  • A minimum of three years of experience in bookkeeping, accounting, or related administrative roles.
  • Familiarity with generally accepted accounting principles; knowledge of governmental accounting is preferred.

Licenses and Certifications:

  • Valid California Driver's License and current vehicle insurance are required.
  • Minimum of three years of driving experience.

Skills and Abilities:

  • Proficiency in Excel and general computer applications is essential.
  • Ability to pass background checks from the Federal Bureau of Investigation (FBI) and/or Department of Justice (DOJ).
  • Experience as a consumer of mental health services or as a family member of a mental health consumer is a plus.
