POSITION DESCRIPTION:

The Payroll Operations Coordinator plays a crucial role in maintaining confidential employee payroll records and ensuring adherence to established guidelines. This position involves processing payroll using Time and Attendance software through ADP, preparing necessary reports for bi-weekly payroll, and managing contributions to retirement plans. The coordinator will also oversee the administration of Flex Spending and HSA accounts, ensuring accurate and timely payroll implementation while maintaining comprehensive reports.

KEY RESPONSIBILITIES:

  1. Input and manage PTO/Sick accruals, ensuring proper policy application for new employees based on their classifications.
  2. Process terminations as communicated by the HR department, ensuring appropriate PTO payouts.
  3. Review and adjust timesheets bi-weekly, addressing any discrepancies related to accrual balances, policy violations, or special pay notifications.
  4. Enter manual checks and special payments, including bonuses and deductions, ensuring accurate payroll processing.
  5. Transfer timekeeping data into the payroll system, verifying accuracy against timekeeping reports.
  6. Generate and review payroll reports for accuracy, including gross payroll, net cash, and tax obligations.
  7. Administer 401K/457B contributions, ensuring proper deductions and matching contributions are processed accurately.
  8. Prepare and process FSA/HSA reports and payments, ensuring alignment with payroll summaries.
  9. Create custom payroll reports for internal use, ensuring timely distribution to relevant stakeholders.
  10. Manage check requests for vendors not processed through ADP.
  11. Prepare monthly journal entries for reclassification of funds as needed.
  12. Distribute W-2 forms in compliance with IRS deadlines, maintaining all payroll reporting records.
  13. Review employee accruals annually and complete required training on time.
  14. Continuously seek to improve payroll procedures and collaborate with ADP for system updates.
  15. Work with management and employees to enhance payroll processing efficiency.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to work independently with minimal supervision and manage time effectively.
  • Understanding of sensitive information handling and maintaining confidentiality.
  • Strong verbal and written communication skills, with proficiency in MS Word and Excel.
  • Excellent organizational skills and attention to detail.

EDUCATION AND EXPERIENCE:

A minimum of two to five years of relevant experience is required, along with a high school diploma or equivalent. Experience with ADP is preferred, and an associate degree is advantageous.

COMPLIANCE STATEMENT:

PHYSICAL DEMANDS:

This role involves light physical activity related to administrative tasks, with occasional lifting of materials weighing up to ten pounds.

WORK SCHEDULE:

This position typically follows a Monday through Friday daytime schedule, subject to management specifications.
