ROLE SUMMARY: PIHC is in search of a skilled Medical Office Coordinator to manage administrative responsibilities that include welcoming and assisting patients, scheduling appointments, maintaining accurate records, and ensuring a tidy and organized workspace, all while fostering a friendly atmosphere for our patients.

KEY RESPONSIBILITIES:

  • Professionally handle multiple phone lines, screening calls by obtaining the caller's name and purpose, and directing calls appropriately.
  • Possess a minimum of two years' experience in a medical front office setting, with fluency in both English and Spanish to effectively perform necessary tasks.
  • Facilitate patient check-in and complete registration processes.
  • Manage patient flow by implementing efficient check-in procedures upon arrival.
  • Guide new patients in filling out medical information forms, ensuring all forms are completed accurately.
  • Update necessary forms for established patients according to practice protocols, including Consent, HIPAA, Financial, and Demographics.
  • Ensure the accuracy of patient demographic and insurance information by verifying details at each patient visit.
  • Maintain precise records of insurance, patient billing, and contact information by accurately entering data into the computer system.
  • Scan insurance cards and identification for all new patients and update established patients annually or with any insurance changes.
  • Collect copays, deductibles, coinsurance, and outstanding balances prior to patient consultations.
  • Accurately record payments and issue receipts to patients.
  • Reconcile daily receipts and collected funds with end-of-day reports to confirm balances and prepare deposits.
  • Promote the patient portal to enhance patient engagement.
  • Safeguard patient rights by maintaining confidentiality in accordance with HIPAA guidelines.
  • Sort and distribute incoming mail.
  • Perform medical coding and billing tasks for non-insurance claims as assigned by management.
  • Contact patients monthly regarding outstanding balances.
  • Execute other job-related duties as assigned.

QUALIFICATIONS AND SKILLS:

  • Experience working with diverse and underserved populations.
  • Familiarity with basic medical office billing and insurance processes; knowledge of Medicaid/Medicare is advantageous.
  • Understanding of medical terminology.
  • Excellent communication skills, including writing, spelling, listening, and speaking, along with strong interpersonal abilities.
  • Proficient in computer and EMR systems, with a positive, friendly, and helpful demeanor.
  • Exceptional customer service skills and a warm personality.
  • Able to thrive in a fast-paced environment while maintaining attention to detail.
  • Ability to uphold confidentiality and demonstrate empathy towards clients.
  • Capable of completing assigned tasks thoroughly.

EDUCATION AND EXPERIENCE:

An Associate Degree and a minimum of two years' experience in a medical front office environment, including basic medical billing experience, are required.
