Healthcare Assistant/Patient Services Coordinator

Position Overview
The Healthcare Assistant/Patient Services Coordinator plays a vital role in ensuring a seamless patient experience. This position involves a variety of responsibilities aimed at supporting both clinical staff and patients throughout their healthcare journey.
Key Responsibilities:
- Assist healthcare providers with patient care, managing patient flow, and performing essential administrative tasks.
- Welcome patients and their families, efficiently scheduling appointments and necessary tests.
- Handle payment processing, providing patients with account balances and receipts, while ensuring accurate posting to accounts.
- Respond promptly to phone inquiries, addressing caller needs and delivering messages accurately.
- Facilitate referrals and consult orders in a timely manner.
- Schedule and document diagnostic tests and procedures within the order management system, adhering to established workflows.
- Collect and verify patient information, including demographics and insurance details, while ensuring compliance with HIPAA regulations.
- Prepare examination rooms and assist patients during their visits, maintaining cleanliness and organization.
- Ensure all necessary information is ready for patient visits and appointments are scheduled according to departmental protocols.
- Collect and label lab specimens accurately, following departmental guidelines.
- Complete required patient forms with precision.
- Measure and document vital signs, ensuring accuracy in electronic health records (EHR).
- Collaborate with clinical staff to ensure timely pre-authorizations for services.
- Review and update medication lists appropriately.
- Document allergies in EHR accurately.
- Reconcile patient encounters daily, following policy guidelines.
- Utilize task management tools effectively.
- Confirm future appointments and manage cancellation lists.
- Communicate effectively with supervisors and management.
- Maintain an organized supply closet and dispose of outdated medications responsibly.
- Ensure examination rooms are consistently stocked with necessary supplies and monitor inventory levels.
General Job Functions:
- Demonstrate understanding of medical emergency procedures.
- Adhere to all regulatory policies and standards.
- Operate within the defined scope of practice.
- Perform additional duties as required, such as EKG and phlebotomy.
Physical Job Requirements:
- Ability to push and pull objects, considering weight and frequency.
- Physical strength to lift heavy items as necessary.
- Mobility to move around the workplace efficiently.
- Agility to maneuver in confined spaces.
- Dexterity to perform tasks requiring fine motor skills.
- Endurance for prolonged periods of standing, typing, or walking.
Environmental Risks:
- Exposure to chemicals and fumes.
- Potential for loud noises and vibrations.
- Working in extreme temperatures and confined spaces.
- Contact with allergens and sharps.
Blood-borne Pathogens:
- Risk of exposure to infectious materials and bodily fluids.
- Interaction with patients and specimens may occur.
Education and Certification Requirements:
- High School Diploma or GED required; Associate or Bachelor's degree preferred.
- Medical Assistant Certification is mandatory, with a requirement to achieve certification within a specified timeframe if not already certified.
- Prior experience in a similar role is advantageous.
- Basic Life Support (BLS) certification must be obtained within a designated period after hiring.
- Strong customer service skills and ability to work collaboratively.
- Effective communication skills in English, both verbal and written.
- Ability to manage multiple tasks efficiently.
- Basic computer proficiency is necessary.
- Familiarity with medical terminology and office equipment is preferred.
