Key Responsibilities:

  • Administers payroll for over 1,000 employees within a single U.S. legal entity, addressing daily payroll-related inquiries.
  • Reviews, processes, and reconciles payroll for both exempt and non-exempt staff, guaranteeing accurate and timely payroll transactions.
  • Handles salary expenses and payroll taxes associated with equity-based transactions.
  • Manages participant 401(k) contributions and loan repayments, including coordination with third-party processors for file submissions; oversees employer 401(k) matching.
  • Facilitates contributions to the employee stock purchase program, coordinating with third-party processors for file submissions.
  • Oversees payroll compliance issues, including multi-state tax withholding, garnishments, and key annual audits (e.g., 401(k) audit, worker's compensation, and external financial audits).
  • Maintains departmental procedures to ensure adherence to internal controls and compliance with applicable laws.
  • Administers and supports the Payroll module within the ADP system.
  • Generates and analyzes monthly payroll-related financial reports.
  • Applies Federal and State regulations, including Fair Labor Standards Act legislation, in payroll processing.
  • Creates ad-hoc reports utilizing ADP's business intelligence reporting tools.
  • Performs other duties as assigned.

Note: Management retains the right to assign or reassign duties and responsibilities as necessary.

Qualifications:

  • Bachelor's degree in Accounting or Finance preferred, or equivalent experience.
  • Familiarity with ADP Workforce Now is advantageous.
  • Certification as a Payroll Professional is a plus.
  • Minimum of 5 years of experience in payroll functions.
  • At least 3 years of experience in a managerial role.
  • Knowledge of payroll taxation and Illinois and Federal Labor and Wage Regulations.
  • Experience with equity-based payroll processing, including restricted stock awards and stock options.
  • Understanding of Multi-state Labor and Wage Regulations.
  • Strong collaborative skills with excellent communication abilities (written, verbal, and presentation).
  • Capacity to meet deadlines while managing multiple priorities.
  • Critical thinking and problem-solving capabilities.
  • Strong numerical and accounting skills.
  • Ability to manage confidential information with the highest level of integrity.
  • Proficiency in Microsoft Windows suite (Excel, Word, Outlook) and business intelligence reporting tools.

Work Environment:

This position is typically situated in an office environment, involving frequent sitting, walking, and standing, with occasional climbing, stooping, kneeling, crouching, crawling, and balancing. Regular use of hand-eye coordination is necessary for operating office equipment. Effective oral and auditory communication skills are essential for interpersonal interactions and automated device communications.
