We are currently in search of a full-time Office Coordinator to oversee a dynamic Home Care office.

*** Each office operates independently as a franchise, ensuring a unique environment. ***

POSITION OVERVIEW
  • Delivers comprehensive clerical assistance including employee scheduling with clients, drafting correspondence, reports, and documents; maintaining organized filing systems; and coordinating daily office operations.
  • Standard work schedule: Monday to Friday, 40 hours per week.

  • specifically, we seek someone with recent experience as a Caregiver, who can occasionally assist in the field when necessary. Therefore, the successful candidate will be expected to have, or obtain, and maintain an active CA Home Care Aide state registration.
REQUIREMENTS
  • High school diploma; college degree preferred.
  • At least two (2) years of work experience, preferably in healthcare.
  • Ability to speak, read, write, and understand English.
  • Strong verbal, written, and interpersonal communication skills are essential.
  • Ability to type a minimum of 50 words per minute and familiarity with basic computer applications.
KEY RESPONSIBILITIES

Utilizing the franchise's computer system, generates the weekly schedule to ensure adequate Caregiver staffing for each Client:
  • Assesses the weekly caregiving requirements of each Client.
  • Assigns available Caregivers to each Client shift,
  • Considers Caregivers' vacations, illnesses, and other factors.
  • Distributes the weekly schedule to all Caregivers.
  • Maintains updates to the weekly schedule and communicates changes to relevant parties.
Provides administrative support to management and supervisory staff:
  • Drafts correspondence, reports, documents, and medical Plans of Care.
  • Coordinates appointments for management and organizes meeting spaces.
  • Updates policies and procedures as directed.
  • Prepares statistical reports as required.
Manages inventory of office and medical supplies:
  • Establishes agency standards and appropriate reorder levels.
  • Monitors supply needs to ensure availability.
  • Prepares client charge slips as directed and forwards them to the billing department.
Assists with the billing process:
  • Supports data entry for billing and payroll schedules.
  • Keeps an updated admission log.
  • Tracks the return of doctors' orders.
  • Enters all new clients into the computer system.
Assists with the recruitment process for direct care staff:
  • Conducts initial telephone screenings for applicants and schedules interviews as appropriate.
  • Requests references for applicants.
  • Supports the orientation and training of new clerical staff.
Performs duties in compliance with agency policies and professional standards:
  • Takes responsibility in alignment with the role of the Administrative Assistant.
  • Ensures compliance with applicable regulations.
  • Participates in required meetings and educational programs.
  • Engages in agency quality improvement initiatives.
  • Maintains confidentiality in all job-related matters.
Communicates essential information to Supervisor and management team to ensure effective service coordination:
  • Participates in clinical staff meetings as needed to share information relevant to physician orders and other important reports.
  • Contacts clients, referral sources, families, and other professionals as directed to ensure care coordination.
  • Assists with the filing of documentation in the clinical record and reports any missing or incomplete entries.
  • Collaborates with other departments to ensure tasks are completed.
  • Performs additional duties as required.
The ideal candidate will have experience in a similar administrative role within the home care sector and recent experience as a Caregiver supporting our seniors in achieving their highest quality of life.

Compensation: Up to $16 per hour.
