Job Summary

We are seeking a highly skilled and experienced Administrative Manager to join our team at The University of Oklahoma. The successful candidate will be responsible for providing administrative support to our Associate Deans in the College of Medicine Dean's office.

Key Responsibilities
  • Manage the overall operation, administration, and performance of a department or college on behalf of the Director, Chair, or other designated executive.
  • Perform accounting duties, financial analysis, payroll coordination, budget and report preparation, and policy development.
  • Manage office staff, including hiring, firing, training, conducting performance appraisals, disciplining, delegating tasks, overseeing work, and staff development.
  • Supervise office operations, including managing visitor access and handling general inquiries.
  • Coordinate meetings, including arranging locations, preparing agendas, and distributing minutes.
  • Handle correspondence, including emails, phone calls, and letters.
  • Maintain office supplies and equipment, ensuring everything is stocked and in working order.
  • Organize and maintain filing systems, both electronic and physical.
  • Oversee office logistics, including managing schedules and calendars for the Assistant Deans and other senior staff.
  • Assist with data collection and analysis for academic planning and decision-making.
  • Ensure that office operations comply with institutional policies and procedures.
