Job Overview

Rudman & Winchell LLC is seeking a skilled Corporate Legal Support Specialist to join our team. The successful candidate will be responsible for providing administrative support to our commercial real estate and corporate legal departments.

About the Role

The Corporate Legal Support Specialist will work independently, handling telephone calls, preparing and editing documents, filing and maintaining files, and interacting with clients, attorneys, and other staff members. This role requires strong organizational skills, attention to detail, and excellent communication abilities.

Key Responsibilities
  • Manage client and general corporate files, conducting conflict-of-interest checks, opening new files, and organizing information.
  • Process incoming and outgoing mail, ensuring timely dispatch and selection of appropriate express delivery services.
  • Answer and direct telephone calls, recording accurate messages as needed.
  • Prepare and edit documents drafted by attorneys, utilizing legal formats and terminology.
  • Gather necessary information for closing documents, including pay-off amounts on mortgages and liens, taxes, insurance, and other fees.
  • Prepare settlement statements and closing documents, assist attorneys with closings, and coordinate closing dates with banks and relevant parties.
  • Prepare title insurance reports, commitments, and policies.
  • Collaborate with corporate department support staff to prepare annual minutes.
  • Maintain the corporate client database, ensuring current information in both the database and corporate books and files.
Requirements
  • Detail-oriented with excellent analytical capabilities to ensure accuracy and completeness of information.
  • Knowledge of legal principles, practices, and terminology for real estate and corporate transactions.
  • Ability to read and write, proof, and perform minor editing of routine legal correspondence.
  • Possess good quality keyboarding skills and intermediate level knowledge/experience with Microsoft Office and document management applications.
  • Able to assemble files and utilize alphabetical, numerical, and chronological filing guidelines.
  • Excellent organizational skills, with the ability to manage multiple tasks, establish priorities, and meet deadlines.
Salary and Benefits

We offer a competitive salary range of $55,000 - $65,000 per annum, depending on experience, along with a comprehensive benefits package and a supportive work environment.
