The Clinical Operations Supervisor will report to the Office Manager while maintaining collaborative accountability.

This role is responsible for overseeing assigned personnel, including but not limited to Medical Assistants (MAs) and Medical Clerks (MCs), ensuring that our providers receive well-trained clinical support at all times, and that patients have access to optimal care.

The Clinical Operations Supervisor will focus on developing their team to reach their highest potential in both professional and clinical skills.

They will enhance staff efforts to ensure efficient patient flow in and out of examination rooms and support the clinical Office Manager with daily operational tasks.


Responsibilities:

Key responsibilities include but are not limited to:
Overseeing and coordinating the activities of all staff members.

Recruiting, developing, and training a competent team to ensure adequate support for service providers.

Assisting the Clinic Manager with strategic planning, budget forecasting, productivity assessments, and other business-related initiatives.

Planning, scheduling, assigning, and monitoring the work activities of assigned personnel.

Ensuring appropriate daily staffing levels and coordinating changes in staff schedules.

Serving as a resource for the MA team regarding clinical practices, policies, and procedures.

Collaborating with the MA team to monitor compliance with Clinical Lab Improvement Amendments and OSHA standards, ensuring safety measures are followed at all times.

Fostering a positive, equitable, and transparent environment within the department and the practice.

Monitoring the efficiency and quality of departmental operations.

Identifying areas for process improvements or re-training as necessary.

Providing assistance in the clinic as needed and being willing to cover all roles of an MA.

Managing costs related to supplies, inventory, equipment, services, repairs, and personnel compensation.

Monitoring productivity, quality, and timeliness of services.

Addressing compliance and regulatory issues as required, ensuring departmental adherence in all areas.

Performing patient service functions as necessary, including problem resolution and acting as a resource for both internal and external patients.

Conducting patient consultations both in person and via phone.

Implementing all policies and procedures within established time frames.

Taking appropriate corrective actions with personnel as required.

Addressing patient concerns and following up on issues, complaints, and inquiries to ensure satisfactory resolution.

Maintaining knowledge of and compliance with HIPAA standards.

Understanding and adhering to OSHA Standard Precautions.

Complying with healthcare compliance policies.

Performing other related duties as assigned.

Participating in off-site events as needed.

Attending required meetings as scheduled.

Completing other duties as assigned by management.

Qualifications:
A high school diploma is required; an Associate's Degree in Medical Office Administration, Medical Assisting, or a related field is preferred.

A minimum of 2 years of experience as a Medical Assistant or Front Office Associate in a private practice is required.

Previous experience in a team lead or supervisory role is strongly preferred.
