Role Summary: The Clinical Operations Supervisor will report to the Office Manager and will play a crucial role in overseeing assigned personnel, including Medical Assistants (MAs) and Medical Clerks (MCs). This position is essential in ensuring that our providers receive adequate and well-trained clinical support, while also guaranteeing that patients have access to the highest standard of care. The Clinical Operations Supervisor will focus on developing their team to reach their full potential in both professional and clinical skills, while optimizing staff efforts to ensure efficient patient flow.

Key Responsibilities:
Responsibilities include, but are not limited to:

  • Coordinate and oversee the activities of all assigned staff.
  • Recruit, develop, and train a competent team to provide essential support to service providers.
  • Assist the Clinic Manager with strategic planning, budget forecasting, productivity analysis, and other business initiatives.
  • Plan, schedule, assign, and monitor the work of assigned personnel.
  • Ensure appropriate daily staffing levels and manage changes in staff schedules.
  • Serve as a resource for the MA team regarding clinical practices, policies, and procedures.
  • Collaborate with the MA team to monitor compliance with Clinical Lab Improvement Amendments and OSHA standards, ensuring safety measures are adhered to at all times.
  • Foster a positive, equitable, and transparent environment within the department and the practice.
  • Evaluate the efficiency and quality of departmental operations.
  • Identify and address process improvements or retraining needs as necessary.
  • Assist in clinic operations as needed and be willing to cover all roles of an MA.
  • Manage costs related to supplies, inventory, equipment, services, repairs, and personnel compensation.
  • Monitor productivity, quality, and timeliness of services provided.
  • Address compliance and regulatory issues as required, ensuring departmental adherence in all areas.
  • Perform patient service functions as necessary, including problem resolution and acting as a resource for both internal and external patients.
  • Conduct patient consultations in person and via phone.
  • Implement all policies and procedures within established timelines.
  • Take appropriate corrective actions with personnel as needed.
  • Address patient concerns and follow up on problems, complaints, and inquiries to ensure satisfactory resolution.
  • Maintain knowledge of and comply with HIPAA standards.
  • Adhere to OSHA Standard Precautions.
  • Comply with healthcare compliance policies.
  • Perform other related duties as assigned.
  • Participate in off-site events as required.
  • Attend scheduled meetings as necessary.
  • Fulfill additional duties as deemed necessary by management.

Qualifications:

  • High school diploma required; an Associate's Degree in Medical Office Administration, Medical Assisting, or a related field is preferred.
  • A minimum of 2 years of experience as a Medical Assistant or Front Office Associate in a private practice is required.
  • Previous experience in a team lead or supervisory role is strongly preferred.
