Your Role:

In this position, you will be responsible for executing a comprehensive range of administrative functions to support the Legal Division, which includes the agency's Legal Director. Your tasks will include:

  • Designing, organizing, and maintaining office filing systems
  • Interacting with visitors and providing information to callers
  • Coordinating and arranging meetings
  • Drafting, preparing, formatting, and distributing correspondence
  • Assisting staff with various administrative tasks, including faxing, copying, and mailing
  • Compiling information from diverse sources to prepare reports and presentations
  • Documenting meeting minutes and notes
  • Making travel arrangements
  • Preparing expense reports
  • Ordering office supplies and managing inventory

Purpose of Job Class (Nature of Work):

This role is accountable for independently performing a full range of administrative support functions that require a solid understanding of organizational policies and procedures.

Examples of Duties:

  • Typing: Formatting and typing a variety of documents from rough drafts and dictated notes, while proofreading for accuracy.
  • Filing: Designing and maintaining filing systems, including confidential files.
  • Correspondence: Composing complex letters and memoranda for signature.
  • Report Writing: Compiling information to prepare narrative or statistical reports.
  • Interpersonal Skills: Greeting visitors, answering phones, and providing guidance on policies and procedures.
  • Processing: Screening materials to determine necessary actions.
  • Office Management: Maintaining inventory of supplies and assisting in budget monitoring.

Knowledge, Skills, and Abilities:

  • Considerable knowledge of office systems and procedures.
  • Strong interpersonal and communication skills.
  • Ability to prioritize and manage workflow effectively.

Minimum Qualifications:

Three years of experience in office support or secretarial work, with one year at the Secretary 1 level or equivalent.

Preferred Qualifications:

  • Experience providing administrative support to executives or managers.
  • Proficiency in Microsoft Office Suite.
