Position Overview:

CommonSpirit Health is a leading healthcare organization formed through the merger of Catholic Health Initiatives (CHI) and Dignity Health. Key Responsibilities:

1. Grant and Contract Oversight (30%)

  • Evaluate proposed grant budgets for alignment with submission criteria, ensuring accuracy in salary calculations and compliance with relevant regulations.
  • Establish grant files and prepare fund setups for newly awarded grants or contracts.
  • Offer technical support to staff regarding grant administration, including interpreting agreements and reviewing federal guidelines.
  • Design workflow processes for reporting and reimbursement activities.
  • Address grant-related challenges, including budget adjustments and personnel changes, while providing necessary training to staff.
  • Ensure accurate grant coding and tracking of program objectives.
  • Conduct risk assessments for sub-awardees and manage outgoing agreements.
  • Facilitate the timely closure of grants and contracts.

2. Reporting and Financial Management (25%)

  • Maintain a comprehensive system to track reporting and invoicing deadlines.
  • Notify relevant personnel of upcoming deadlines and ensure timely submission of reports.
  • Monitor budget performance and review expenditures for compliance with grant requirements.
  • Prepare and submit accurate invoices and financial reports as dictated by grant agreements.
  • Collaborate with the grants support team to optimize funding utilization.

3. Compliance Monitoring (25%)

  • Identify compliance risks and advise relevant stakeholders on necessary actions.
  • Ensure effective administration of grants and contracts.
  • Support program directors with administrative and compliance procedures.
  • Coordinate regular meetings to discuss grant status and progress.
  • Maintain positive relationships with grantors and external partners.

4. Audit Preparation (15%)

  • Keep comprehensive electronic files for each award, ensuring documentation is readily available for audits.
  • Participate in audits and site visits, serving as a financial contact when necessary.
  • Conduct audits of sub-awardees and prepare necessary documentation.

5. Additional Responsibilities (5%)

  • Assist with other duties as assigned, supporting the Philanthropy department as needed.

Qualifications:

  • Bachelor's degree in Business, Accounting, Finance, or a related field, or three to five years of relevant experience in grant administration.
  • A minimum of three years of professional experience in grant accounting or management.
  • Experience in a complex healthcare system is preferred.

Certifications:

  • Certified Grant Management Specialist certification is preferred.

Skills and Abilities:

  • Strong project management and organizational skills.
  • Ability to manage multiple projects in a fast-paced environment.
  • Basic understanding of accounting principles and grant regulations.
  • High attention to detail and initiative.
  • Ability to work independently under tight deadlines.
