HR Administrative Assistant and Receptionist

We are seeking a highly organized and detail-oriented individual to fill the role of HR Administrative Assistant and Receptionist. As a key member of our team, you will provide administrative support to our HR functions, including recruitment, onboarding, and offboarding processes. Your responsibilities will also include providing reception and office support, ensuring smooth operations, and delivering excellent customer service.
Key Responsibilities:
- Answer phones in a professional manner, screen, and route calls to appropriate employees
- Greet visitors and contact staff they are here to visit, ensuring they sign in and receive necessary badges, glasses, and jackets if applicable, and maintain visitor logs
- Maintain a safe and clean reception area, conference rooms, and breakroom spaces
- Receive, sort, and distribute mail to appropriate staff
- Inventory and order supplies for Building C, e.g., coffee, cups, cream, tea, etc.
- Prepare meeting and training rooms in Building C
- Assist with recruiting efforts, including attending off-site career fairs
- Assist with timesheet management
- Assist with onboarding, orientation, offboarding, and other HR processes and procedures
- Assist with ensuring policy compliance, documentation, and updates
- Assist with internal communications through various media
- Assist with internal and external events
- Assist with other platform and program maintenance as needed
- Assist with maintaining HR files and charts
- Assist with ad-hoc Accounting, lunch and learns, and other duties as assigned
Requirements:
- Applicable experience in HR or pursuing an HR career actively enrolled
- Cognitive Reasoning - Attention to Detail - Required

- Basic Understanding/Experience with administrative and clerical procedures

Technical Requirements:
- Intermediate to expert technical knowledge in the following areas:
- Microsoft Environment (Excel, word, outlook, SharePoint, PowerPoint, etc.)
- 8x8 Phone System
- ADP System (MyLearning)
- Fax/Scan/Print on office industrial equipment
- Intermediate computer skills
Compensation and Benefits:
$18-22.00 (dependent on applicable HR experience)
Monday through Friday (8:00 am – 5:00pm)
No remote work
