Administrative Services Manager

**Job Summary:**
We are seeking an experienced Administrative Services Manager to join our team at HopeWell Inc.
As a key member of our operations team, you will be responsible for managing administrative tasks, coordinating events, and providing support to our Program Directors and Vice President.
**Key Responsibilities:**
- Administrative:
- Welcome guests to our office space and ensure they feel comfortable.
- Answer phones and direct calls to the right person.
- Manage incoming mail and distribute it to the relevant teams.
- Oversee the copy room and maintain a well-stocked supply of office materials.
- Order office supplies and ensure that our teams have what they need to do their jobs effectively.
- Support the onboarding process for new employees.
- Plan and coordinate office events, including meetings, conferences, and training sessions.
- Operations:
- Work with the Vice President and Senior Director on special projects and organizational initiatives.
- Develop and improve administrative and operational systems, policies, and procedures.
- Collect, organize, and store information using computers and filing systems.
- Take advantage of educational opportunities to build new skills and expand existing ones.
- Communicate effectively with clients and suppliers.
- Maintain accurate financial records and account receivables and payables.
- Coordinate repairs and maintenance work with vendors and contractors.
- Programmatic Responsibilities:
- Track client data and billing information.
- Maintain a client database and track intake, discharge, and placement data.
- Manage foster parent reimbursement schedules and payments.
**Requirements:**
- Bachelor's degree or equivalent experience required.
- Minimum 7 years of relevant experience in administration or operations management.
- Excellent leadership and communication skills.
- Attention to detail and ability to multitask.
- Proficiency in Microsoft Office Suite and SharePoint.
- Ability to learn and adapt to new technologies.
