**Job Summary:**

We are seeking an experienced Administrative Services Manager to join our team at HopeWell Inc.

As a key member of our operations team, you will be responsible for managing administrative tasks, coordinating events, and providing support to our Program Directors and Vice President.

**Key Responsibilities:**

  • Administrative:
  • Welcome guests to our office space and ensure they feel comfortable.
  • Answer phones and direct calls to the right person.
  • Manage incoming mail and distribute it to the relevant teams.
  • Oversee the copy room and maintain a well-stocked supply of office materials.
  • Order office supplies and ensure that our teams have what they need to do their jobs effectively.
  • Support the onboarding process for new employees.
  • Plan and coordinate office events, including meetings, conferences, and training sessions.
  • Operations:
  • Work with the Vice President and Senior Director on special projects and organizational initiatives.
  • Develop and improve administrative and operational systems, policies, and procedures.
  • Collect, organize, and store information using computers and filing systems.
  • Take advantage of educational opportunities to build new skills and expand existing ones.
  • Communicate effectively with clients and suppliers.
  • Maintain accurate financial records and account receivables and payables.
  • Coordinate repairs and maintenance work with vendors and contractors.
  • Programmatic Responsibilities:
  • Track client data and billing information.
  • Maintain a client database and track intake, discharge, and placement data.
  • Manage foster parent reimbursement schedules and payments.

**Requirements:**

  • Bachelor's degree or equivalent experience required.
  • Minimum 7 years of relevant experience in administration or operations management.
  • Excellent leadership and communication skills.
  • Attention to detail and ability to multitask.
  • Proficiency in Microsoft Office Suite and SharePoint.
  • Ability to learn and adapt to new technologies.
