Position Summary: The Executive Assistant will perform a variety of administrative tasks to support executive-level personnel. Responsibilities include managing visitor reception, overseeing calendar schedules, producing and editing communications, coordinating travel arrangements, and assisting with expense reporting.

Key Responsibilities:

  • Oversee executive calendars and appointments.
  • Prepare and manage expense reports.
  • Provide daily administrative support: organize files, prepare documents, and assist staff.
  • Coordinate business travel bookings.
  • Create and edit professional presentations using PowerPoint.
  • Demonstrate proficiency in MS Word and PowerPoint.
  • Proofread and assist in finalizing outgoing materials and proposals.
  • Organize and maintain project documentation, including fact sheets and staff resumes.
  • Assist in planning and organizing company events.
  • Maintain professional communication standards.
  • Monitor and manage office supplies.
  • Perform additional office support tasks as assigned.

Qualifications:

  • Strong interpersonal communication skills and a collaborative spirit.
  • Detail-oriented with a positive, proactive attitude.
  • Ability to prioritize and manage multiple tasks effectively.
  • Experience with Microsoft Excel is advantageous.
  • Familiarity with timekeeping systems is a plus.
  • Capability to meet simultaneous deadlines.
  • Knowledge or experience in the design and construction sector is beneficial.
  • Preferred: Associate's or Bachelor's degree.
  • Required: High School diploma or equivalent.
  • Minimum of 5 years of experience in an administrative or executive assistant capacity.
