Job Summary: The Financial Operations Manager, reporting directly to the CFO, is accountable for overseeing and managing the Corporate Accounting Department. This role will implement the financial strategy of the organization, engaging with the general ledger, accounts payable, accounts receivable, inventory oversight, budget analysis, financial statements, and the preparation of financial reports.

Essential Functions and Responsibilities:

  • Effectively leads and manages all accounting operations and record-keeping performed by the Department staff, including cash management, accounts receivable, accounts payable, and inventory oversight.
  • Enhances Department staff performance through coaching and mentoring as needed.
  • Collaborates with the Accounting Office Manager to resolve any interpersonal issues within the Department, ensuring that the CFO and HR are informed of any Human Resource matters.
  • Works alongside the Accounting Office Manager to maintain and update all Department Policies and Procedures, as well as personnel job descriptions.
  • Coordinates and implements a robust internal control framework for operations, encompassing profit planning, sales forecasts, expense budgets, cost standards, and capital investment opportunities.
  • Processes, prepares, and reviews routine monthly, quarterly, and annual general journal and ledger entries to ensure the integrity and accuracy of accounts in line with generally accepted accounting principles.
  • Reconciles and maintains accounts in accordance with the general ledger, addressing any accounting discrepancies while ensuring a checks and balances system is in place.
  • Monitors daily cash requirements and forecasts both short-term and long-term cash needs to ensure the Company has adequate funds.
  • Reviews profit and cost metrics by analyzing profit exception reports for discrepancies in customer invoicing, ensuring necessary corrections are made.
  • Handles year-end 1099 reporting for the Company as applicable.
  • Collaborates with the CFO to ensure timely income tax estimate payments and compliance with all income tax filing deadlines.
  • Assists in the preparation and review of required tax returns, including monthly, quarterly, and annual sales tax returns.
  • Maintains and establishes proper sales tax schedules and applicable tax jurisdictions within the ERP system.
  • Oversees the Company's liability insurance policies, ensuring adequate coverage is in place to protect Company assets.
  • Monitors general overhead costs and expenditures, ensuring competitive pricing for products, supplies, and services.
  • Constructs reports related to production and distribution costs, collaborating with the CFO to interpret operational results for management.
  • Prepares and analyzes budget reports, advising management on necessary corrective actions.
  • Facilitates cross-training within the Department, led by the Accounting Office Manager.
  • Monitors credit and collection processes, including approving customer credit limits and terms as necessary.
  • Maintains open communication with the CFO regarding the Company's financial performance and provides insights on all financial matters.
  • Executes cash disbursements in accordance with the Company's disbursement policies.
  • Prepares documentation and assists with external financial audits, including sales tax audits as required.
  • Works with the CFO to oversee the preparation of supporting workpapers for the Company's year-end audit.
  • Facilitates communication and collaboration among all teams to ensure accurate record-keeping and efficient accounting services for the Company, employees, customers, and vendors.
  • Demonstrates flexibility, including the willingness to work overtime and take on additional responsibilities as the Company evolves.

Job Qualifications:

  • Bachelor's Degree in Accounting preferred.
  • Minimum of 5 years of experience in Accounting required.
  • Proficient in Microsoft Word and Excel.
  • Familiarity with data processing capabilities and accounting systems.
  • Possesses appropriate management and supervisory skills to lead Department staff.
  • Exhibits strong attention to detail, demonstrating high efficiency, reliability, and consistency in performance.
  • Maintains positive working relationships with co-workers, supervisors, management, and various personnel.
  • Communicates professionally, both orally and in writing, with a diverse range of individuals.
  • Maintains a professional appearance while representing the Company as the Financial Operations Manager.
