Position Overview

The Legal Support Specialist plays a crucial role within the litigation team. This position involves comprehensive case management and support, collaborating closely with attorneys, clerks, and various support departments to ensure the smooth operation of case projects.

Key Responsibilities

Responsibilities include, but are not limited to:

Citation Verification

  • Ensure that all documents produced by attorneys adhere to established legal citation and formatting standards as mandated by relevant jurisdictions.
  • Proficiency in Westlaw, Lexis, Bluebook citation rules, and a thorough understanding of the Shepardizing process are essential.
  • Senior specialists should also be adaptable to regional legal requirements as necessary.

Furthermore, Senior Specialists are expected to:

  • Create Tables of Authority
  • Provide guidance to staff on proper citation practices to assist in document preparation.
  • Conduct quote checks
  • Pin cite
  • Add parallel citations
  • Retrieve cases, keycite reports, and prepare them in the required format for legal and support personnel.
  • Engage in special projects and additional tasks as assigned.

White Collar Updates

  • Compile a daily summary of recent media articles and announcements related to white collar activities, distributing this information to the relevant internal groups.

Lobbying and Charitable Contributions Reporting

  • Prepare a semi-annual report detailing the Firm's charitable contributions for submission to regulatory bodies.

Audit Correspondence

  • Draft audit letters for clients in response to inquiries from regulatory agencies.

Document Collection Coordination

  • Oversee the collection of documents in collaboration with attorneys and the Litigation EDiscovery team.
  • Prepare for and execute on-site document collections.
  • Maintain logs of materials collected and ensure the return of documents.

Production Management

  • Prepare production materials, tracking what documents are produced, when, and to whom.
  • Coordinate with the case team and Litigation Technical Services to ensure databases accurately reflect all productions.
  • Handle Bates and confidentiality stamping using Adobe Acrobat for documents outside the electronic database.
  • Manage the delivery of electronic media and associated cover letters, tracking the delivery of production materials.
  • Maintain a production log and archive multimedia in the Media Library.

Trial Preparation and Depositions

  • Compile exhibits and relevant documents for depositions, including witness preparation and interviews.
  • Reserve necessary facilities and arrange for court reporter and videographer services for depositions.
  • Organize and maintain electronic records of deposition transcripts and videos, as well as hard copies of original and certified transcripts.
  • Review transcripts and videos for accuracy.

Document Management

  • Prepare motion papers, court filings, and correspondence, liaising with various litigation support departments prior to filing.
  • Distribute incoming court documents and correspondence to the case team.
  • Maintain and organize case files, correspondence, and binders, archiving when appropriate, and ensuring the upkeep of the work environment.

Qualifications

  • Highly motivated and detail-oriented, with exceptional organizational and communication skills.
  • Strong oral and written communication abilities, with outstanding interpersonal skills.

Education and Experience

  • A four-year college degree is required.
  • Graduation with high academic standing is essential.
  • A minimum of two years of experience as a litigation paralegal or legal assistant is required.

Compensation

The anticipated base salary for this role ranges from $80,000 to $90,000, with offers determined by a variety of factors including relevant skills, training, experience, education, and applicable certifications. Market conditions and organizational factors are also taken into account. Davis Polk offers a competitive salary and a comprehensive benefits package.
