Position Overview

The Litigation Support Specialist plays a crucial role within the litigation team. This position involves comprehensive case management and support functions. The Specialist collaborates closely with attorneys, clerks, and various support departments to ensure the smooth operation of case projects.

Key Responsibilities

Core duties encompass, but are not limited to, the following:

Citation Review

  • Ensure that documents prepared by attorneys adhere to established legal citation and formatting standards as mandated by relevant jurisdictions.
  • Proficiency in Westlaw, Lexis, Bluebook citation rules, and a thorough understanding of the Shepardizing process are essential for this role.
  • Senior Specialists should also be adaptable to regional legal requirements as necessary.

Furthermore, Senior Specialists are expected to:

  • Create Tables of Authority
  • Provide guidance to staff on proper citation practices to assist in document preparation.
  • Conduct quote checks
  • Pin cite
  • Add parallel citations
  • Retrieve cases, keycite reports, and format them as requested by legal and support personnel.
  • Engage in special projects and additional tasks as assigned.

White Collar Analysis

  • Compile a daily summary of recent media articles and announcements related to white collar activities, distributing this information to the relevant email group.

Lobbying and Charitable Contributions Reporting

  • Prepare a semi-annual report detailing the Firm's charitable contributions for submission to regulatory bodies.

Regulatory Response Letters

  • Draft audit letters for clients in response to inquiries from regulatory entities.

Document Collection Coordination

  • Facilitate the collection of documents in collaboration with attorneys and the Litigation EDiscovery team.
  • Prepare for and conduct on-site document collections.
  • Document materials collected from the collection site.
  • Oversee the return of documents to the collection site.

Document Production Management

  • Prepare production materials, tracking what, when, and to whom documents are produced.
  • Coordinate with the case team and Litigation Technical Services to ensure electronic databases accurately reflect all productions.
  • Perform Bates and confidentiality stamping in Adobe Acrobat for documents produced outside of electronic databases.
  • Deliver electronic media along with corresponding cover letters, tracking the delivery of production materials.
  • Maintain a production log and archive multimedia in the Media Library.

Trial Preparation and Deposition Support

  • Assemble exhibits and relevant documents for depositions, witness preparation, and trial proceedings.
  • Reserve conference rooms and arrange for court reporter and videographer services for depositions.
  • Organize and maintain electronic records of deposition transcripts, videos, and original certified transcripts.
  • Review transcripts and videos for any necessary corrections.

Document Management and Organization

  • Prepare motion papers, court filings, and correspondence; liaise with various litigation support departments prior to filing.
  • Distribute incoming court documents and correspondence to the case team.
  • Maintain and organize case documents, correspondence, and binders, archiving when appropriate; responsible for the upkeep of the work area.

Qualifications

  • Must demonstrate high motivation and attention to detail, possess exceptional organizational and communication skills.
  • Above-average oral and written communication skills are essential, along with strong interpersonal abilities.

Education and Experience

  • A four-year college degree is required.
  • Graduation with high academic standing is necessary.
  • A minimum of two years of experience as a litigation paralegal or legal assistant is required.

Compensation

The anticipated base salary for this role ranges from $80,000 to $90,000. Salary offers are determined based on various factors, including relevant skills, training, experience, education, and any applicable licensure or certifications. Market and organizational factors are also taken into account. Davis Polk offers a competitive salary along with a comprehensive benefits package.
