Customer Relations Specialist

Job Overview:
The Customer Relations Specialist is tasked with fostering and maintaining customer engagement between clients and the organization, including sales teams, operational staff, and engineering departments. This role involves processing inquiries and addressing requests effectively.
Key Responsibilities:
- Manage customer inquiries and requests: provide pricing and delivery details; follow up with clients and representatives regarding quotes; handle return orders by issuing necessary authorizations and validating returns; enter replacement orders; respond to inquiries about order status and delivery timelines.
- Oversee customer purchase orders: accept and input orders from clients and distributors; conduct thorough reviews of purchase orders; communicate confirmations or acknowledgments; manage change notices for new or existing products; ensure alignment between customer and company specifications; collaborate with engineering to fulfill customer needs or relay exceptions.
- Work with internal teams to resolve customer issues: monitor the status of engineering documentation impacting orders; address accounting discrepancies such as pricing issues, credits, freight adjustments, and short shipments.
- Proactively follow up on quotes to secure orders.
- Document reasons for any lost quotes.
- Develop pricing strategies within established guidelines and seek necessary approvals; gather delivery lead times and quote details; suggest adjustments to pricing or lead times as needed.
Additional Responsibilities:
Review outstanding orders to ensure timely delivery of products. Escalate issues as necessary to meet customer deadlines.
Provide accurate and prompt responses to inquiries, questions, and escalations from customers.
Qualifications:
Education: Associate's Degree
Experience: 5-8 years in Customer Service or Inside Sales, or an equivalent combination of education and experience.
Certificates/Licenses: None Required
Preferred Skills:
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and web navigation.
- Ability to interpret company manuals and customer requirements.
- Strong written and verbal communication skills for effective interaction with customers, vendors, and colleagues.
- Mathematical aptitude for calculating discounts, interest, proportions, and percentages.
- Problem-solving skills to address practical issues with limited standardization.
- Ability to understand various forms of instructions, whether oral, written, or visual.
Work Environment: Office-Based

- Regularly required to sit, stand, talk, or hear.
- Must be able to walk and use hands for various tasks.
- Visual acuity for close work and depth perception is necessary.
