Position Summary & Responsibilities:

Position Summary:

The Administrative Assistant will perform office support duties of a clerical nature, involving several steps and analysis of data to identify procedures to be completed. The role requires making decisions based on well-defined rules, regulations, methods, and procedures with limited interpretation. Responsibilities may include providing basic information, scanning, imaging, and finalizing correspondence and reports, compiling and entering data, retrieving data from records or databases, answering and routing telephone calls, sorting and purging office records, basic typing and keyboarding, processing offender visiting applications, opening and inspecting incoming non-legal offender mail, processing outgoing mail, and sorting and distributing incoming staff mail.

Education

  • High School Diploma or GED

Licensing & Certification

  • Valid Driver's License

Minimum Qualifications

  • Six months of documented full-time experience in general office, clerical, or administrative work. Education may be substituted for experience as determined relevant by the agency

Preferred Qualifications

  • One year of full-time, paid work experience in administrative support work
  • Ability to understand and follow verbal and written instructions; read and comprehend written materials
  • Proficient in Microsoft Office Suite
  • Experience reflecting the ability to exercise initiative, independent judgment, and discretion in the performance of duties

Post-Offer, Pre-employment Requirements

  • Applicants will be subject to a background check and criminal history investigation; must pass a drug screen and a TB test unless promoting, transferring, or demoting from another safety-sensitive position within the same agency; and possess a valid Driver's License
  • Upon offer of employment, the selected candidate must obtain a valid Kansas Certificate of Tax Clearance within 10 days of the job offer. The certificate can be obtained by accessing the Kansas Department of Revenue's website. A Tax Clearance is a comprehensive tax account review to determine and ensure that an individual's account is compliant with all primary Kansas Tax Laws. A Tax Clearance expires every 90 days.
