The Patient Registration Specialist is responsible for performing essential clerical tasks related to patient registration, collecting necessary insurance and demographic information, and securing appropriate referrals or authorizations for patient appointments. This role collaborates closely with the Business Office and Front Desk Team Lead to prioritize customer service during check-in and ensure all daily responsibilities are fulfilled efficiently and accurately. Keeping current reference materials on insurance plans is also a key aspect of this position.

Key Responsibilities

  • Welcomes and checks in patients and visitors according to established protocols, directing them to the appropriate clinic areas. Ensures the clinic is operational on time, following the established checklist and adequately staffed for patient volume.
  • Aims for outstanding customer service by treating patients and visitors with professionalism and courtesy at all times. Monitors the waiting area to ensure patients are accommodated and keeps them informed of estimated wait times, offering assistance as needed.
  • Maintains up-to-date reference materials on insurance plans as provided by management.
  • Investigates insurance information provided by patients to accurately identify participation with our center and understand referral requirements.

Qualifications

  • A High School Diploma or equivalent is required.
  • At least 1 year of experience in a customer-facing service role; experience in a medical office reception setting is advantageous.
  • Proficient in Microsoft Office Suite or similar software, as well as scheduling and medical records applications. Ability to quickly adapt to a multi-line phone system is essential.
  • Core competencies include customer service, interpersonal communication, teamwork, punctuality, and confidentiality.

Work Environment

This role is situated in a typical medical office setting, which may involve regular interruptions and distractions such as ringing phones, staff and patients moving through the area, and conversations. The position is primarily sedentary but requires the ability to navigate an office environment and operate office equipment, including computers, printers, telephones, and fax machines. Frequent communication with patients, healthcare providers, and colleagues is necessary, utilizing various tools such as telephones and email.
