The Patient Registration Specialist is responsible for performing essential clerical tasks related to patient registration, collecting necessary insurance and demographic details, and securing appropriate referrals or authorizations for patient appointments. This role collaborates closely with the Business Office and Front Desk Team Lead to prioritize customer service during check-in and ensure all daily responsibilities are fulfilled accurately and promptly. Maintaining current reference materials on insurance plans is also a key aspect of this position.
Key Responsibilities
- Welcomes and registers visitors and vendors at the clinic following established protocols, directing them to the appropriate locations. Ensures the clinic opens on time according to the established checklist and is adequately staffed for daily patient volume.
- Aims for outstanding customer service by ensuring that patients and visitors are treated with professionalism and courtesy at all times. Monitors the waiting area to ensure patients are accommodated and keeps them informed of estimated wait times. Provides assistance to patients or visitors as needed.
- Keeps reference materials on insurance plans up to date as provided by management.
- Investigates insurance information supplied by patients to accurately identify participation with our center and any referral requirements.
Qualifications
- A High School Diploma or equivalent is required.
- At least 1 year of experience in a customer-facing service role; experience in a medical office reception setting is preferred.
- Proficient in Microsoft Office Suite or similar software, scheduling and medical records applications, with the ability to quickly learn a multi-line phone system.
- Strong competencies in customer service, interpersonal communication, teamwork, punctuality, and confidentiality.
Work Environment
This role is situated in a typical medical office environment, characterized by regular interruptions and distractions, including ringing phones, staff and patients moving about, and ongoing conversations. The position is primarily sedentary but requires the ability to navigate an office setting and operate standard office equipment such as computers, printers, telephones, and fax machines. Frequent communication with patients, physicians, and colleagues is essential, utilizing various communication tools such as telephones and email.
