Position Summary:

The Logistics Operations Coordinator is responsible for a range of intricate administrative tasks. This role supports managers and executives by managing various clerical and operational functions within the logistics department. The individual will frequently engage in complex projects that require independent judgment and a proactive approach to problem-solving.

Key Responsibilities:

  • Manage incoming correspondence and prepare outgoing communications, including emails and faxes.

  • Draft advanced documents such as letters, memos, and reports, ensuring accuracy and clarity.

  • Organize and maintain comprehensive filing systems for correspondence and records.

  • Coordinate meetings, prepare agendas, reserve facilities, and document meeting minutes.

  • Handle various administrative challenges related to logistics operations.

  • Safeguard confidential and time-sensitive information.

  • Facilitate communication between departments and external partners, collaborating closely with Procurement and Quality Control.

  • Review and validate receiving and shipping documentation.

  • Generate and manage documentation for returns, supplier materials, and customer-owned shipments.

  • Conduct research, analyze data, and prepare reports to assist management in decision-making.

  • Track inventory accuracy through physical counts and verification processes.

  • Oversee the issuance and receipt of inventory, ensuring compliance with established procedures.

  • Maintain inventory levels by monitoring stock and placing orders as necessary.

  • Ensure equipment functionality through regular maintenance and repairs.

  • Enhance professional knowledge by participating in workshops and reviewing relevant publications.

Additional Responsibilities:

  • Update and maintain the ERP system and product databases.

  • Create and distribute operational procedures and documentation.

  • Utilize MS Excel for data management and reporting.

  • Perform other duties as assigned by management.

Qualifications:

To excel in this role, candidates should meet the following criteria:

  • Minimum of 3 years of experience in an administrative support capacity; relevant certification or Associate's Degree preferred.

  • Strong written and verbal communication skills.

  • Proficient in mathematical calculations and data analysis.

  • Advanced knowledge of MS Office Suite and database management.

  • Forklift certification is a plus.
