Job Summary

We are seeking an experienced administrative professional who is energetic, organized, and possesses superb people skills for our San Diego office. The Front Desk Administrative Assistant position requires in-office presence Monday through Friday to assist with operations for the office, front desk, and provides administrative support to the Office Manager.

Responsibilities
  • Front desk reception, including answering phones, greeting visitors, handling mail and deliveries.
  • Completing administrative processes, such as email correspondence, creating spreadsheets for tracking and allocations, and expense reports.
  • Catering coordination and facilities management assistance.
  • Scheduling meetings and preparing meeting rooms, event setup.
  • Assist Office Manager with day-to-day support and special projects.
  • Order and maintain office supplies, including invoice reconciliation.
Qualifications
  • High school diploma required; post-secondary education or Associate's/bachelor's degree preferred.
  • At least 2 to 3 years of relevant work experience as an Administrative Assistant or Receptionist in a professional service environment.
  • Fluent in MS Office (Word, PowerPoint, Excel, Forms, and Outlook), MS Teams, SAP, and Concur a plus.
  • Previous Customer Service a plus.
  • Strong oral and written communication skills.
  • Professional appearance and demeanor with ability to exercise good judgment and discretion.
  • Attention to detail, dependability/punctuality.
  • Initiative-taker and ability to support a wide variety of tasks and meet aggressive deadlines.
  • Experience working both independently and with a team in a demanding environment.
