Summary: The primary responsibility of a Clerical Assistant/Clerk is to execute complex and essential clerical tasks while exercising sound judgment based on acquired knowledge and experience.

Essential Duties and Responsibilities:
  • Reviews incoming correspondence and organizes files and materials to assist superiors in their responses.
  • Drafts and composes communications that require an understanding of departmental operations and regulations, often without prior review.
  • Maintains mailing lists and oversees the distribution of circulars or announcements on a regular basis.
  • Serves as a secretary to an official when assignments necessitate the use of discretion in decision-making according to established policies.
  • Manages general office files, basic accounting records, and various other office documentation.
  • Provides assistance during official meetings, including preparing data reports, forms, payrolls, specifications, and other materials from rough drafts or instructions.
  • Ensures adherence to procedures and maintains production standards.
  • Handles telephone inquiries or acts as the office receptionist, directing calls and visitors, and providing routine information to the public without interpreting laws or policies.
  • Maintains general office files, basic accounting records, and a variety of other office documentation.
Other Duties:

Additional responsibilities as assigned that relate to the functions of the position.

Essential Functions/Qualifications/Requirements:

Education and Experience:

A high school diploma or equivalent is required, along with one year of clerical experience. The ability to comprehend and interpret written and verbal instructions is essential. Accurate and current record-keeping is mandatory.
