Position Overview:
Under the guidance of the Site Operations Manager, the Clinical Operations Supervisor, Medical Assistant is tasked with managing clinical and registration workflows within the assigned clinic or department. Key responsibilities include overseeing patient registration and intake processes, assisting medical providers and fellow medical assistants, administering injections, and maintaining the cleanliness and organization of examination rooms.

Key Responsibilities:
In collaboration with the Site Operations Manager, the Clinical Operations Supervisor supervises the Medical Receptionist, Medical Assistant, and Eligibility teams for both scheduled appointments and walk-in patients. This role ensures that all clinic personnel are cross-trained and proficient in their clinical skills.

  • Address and resolve complaints related to clinical services.
  • Support medical assistant and reception functions as necessary to ensure smooth patient flow.
  • Assist practitioners during examinations within the defined scope of practice.
  • Ensure proper cleaning and sterilization of reusable instruments.
  • Conduct tests on medical and laboratory equipment to confirm operational efficiency and maintain quality control documentation.
  • Manage inventory and ensure adequate medical supplies, vaccines, and other necessary items are available.
  • Oversee vaccine programs and act as the clinic's vaccine coordinator.
  • Facilitate audits and ensure timely rectification of any discrepancies.
  • Assist the Site Operations Manager in the recruitment of clinic staff.
  • Coordinate and lead staff training sessions and meetings.
  • Assist in managing staff schedules and addressing call-outs.
  • Ensure accurate electronic health record entries and maintenance for each patient visit.
  • Prepare daily co-payments and balances for the Accounting Department, reconciling cash drawers according to established procedures.
  • Collaborate with other clinic staff to deliver exceptional patient care.
  • Perform additional duties as assigned by clinic leadership.

Qualifications:
To qualify for this position, candidates must possess a Medical Assistant certificate and a current CPR license. A minimum of two years of clinical experience as a Medical Assistant and two years of supervisory experience in a healthcare setting is preferred.

Desired Skills:
Bilingual proficiency in English and Spanish is preferred. Candidates should demonstrate effective communication skills with all staff levels, problem-solving abilities, and the capacity to work collaboratively or independently to enhance clinic operations. Proficiency in computer programs, registration, and scheduling systems is essential. Candidates should also be adept at serving individuals from diverse backgrounds and capable of multitasking, taking initiative, and delegating responsibilities as needed.
