POSITION SUMMARY:
This role is pivotal in ensuring the effective implementation of the global trade show strategy aligned with marketing goals. The individual will spearhead the logistical planning, communication, and execution of our trade show initiatives. This position will engage in the formulation, development, and execution of event marketing strategies, tactics, and materials aimed at enhancing communication efforts. The Trade Show Marketing Manager will guarantee that events are executed seamlessly and reflect the company’s objectives and product messaging. Collaboration with cross-functional teams will be essential in creating marketing materials that support trade show and sales efforts.
KEY RESPONSIBILITIES:
• Assist in crafting trade show strategies and budgets that align with marketing goals.
o Prepare, forecast, and oversee the trade show budget while tracking all expenditures for complete financial reconciliation.
o Manage all pre-event planning tasks, including ordering logistics, arranging exhibit space, and overseeing the space selection process.
• Develop and maintain a comprehensive Trade Show database that includes:
o Potential events and their details for consideration.
o Recommendations, evaluations, and approvals for shows.
o Operational timelines for all aspects of each event.
• Oversee logistics for trade show programs:
o Manage booth selection, setup, shipping, staffing, registration, travel coordination, and pre-event communications.
o Facilitate activities and manage timelines for cross-functional stakeholders and contributors.
o Oversee inventory and shipments of booth properties, product samples, graphics, and marketing literature.
o Supervise on-site management of major trade shows, including setup and logistics.
o Plan, execute, and manage on-site activities such as booth interactions, giveaways, and meetings.
• Coordinate and participate in company-sponsored events related to targeted scientific symposia.
• Ensure that leads generated from shows are processed and accurately entered into the lead management system.
o Provide timely reports on lead generation and follow-up activities.
• Marketing Materials:
o Oversee the development of marketing materials that support trade show objectives and messaging.
o Collaborate across functions to identify marketing and communication opportunities and ensure timely content development.
o Create marketing collateral as part of the marketing team to support ongoing company and product messaging.
• Event Evaluation:
o Assess potential events and gather input from key sales personnel.
o Recommend new events based on evaluations.
o Collect feedback and provide reports on the effectiveness of current events.
o Suggest enhancements to improve event effectiveness.
• Reporting:
o Provide monthly reports on activities and lead generation.
o Compile year-over-year performance analyses.
o Prepare post-event reports.
o Conduct analyses to evaluate the effectiveness of each event.
• Specific duties may vary based on departmental needs.
EXPERIENCE AND QUALIFICATIONS:
• A Bachelor's degree in Marketing, Business Management, or a related field is strongly preferred.
o An equivalent combination of education and experience will also be considered.
• A minimum of 4 years of experience in a corporate trade show and events environment.
• Extensive experience in managing trade show calendars, events, and logistics databases.
• A professional demeanor both in person and over the phone.
KNOWLEDGE, SKILLS, AND ABILITIES:
• Proven ability to manage overall trade show operations.
• Demonstrated capability to manage budgets and budget reporting.
• Ability to proactively resolve issues independently.
o Logical problem-solving skills and the ability to organize and advance project tasks systematically.
o Capacity to meet goals in a deadline-driven environment.
• A track record of successful trade show event management.
• Excellent oral, written communication, and interpersonal skills.
o Ability to effectively communicate issues and results that impact timelines and accuracy.
• Proficiency in MS Office Suite.
o Advanced Excel skills with the ability to create, automate, and manage the overall trade show plan and database.
o A quantitative background to enhance this knowledge on the job is expected.
• Demonstrated success in matrix management across multiple functions.
o Collaborating with sales, purchasing, marketing, R&D, operations, legal, and multimedia teams.
• A high degree of creativity and flexibility is expected, including the ability to multitask and work effectively in a dynamic sales/marketing environment with shifting priorities.
PHYSICAL DEMANDS:
• Must be capable of pushing, pulling, and/or lifting up to 40 lbs.
• This role requires effective communication and the ability to utilize necessary equipment to perform job duties.
WORK ENVIRONMENT:
• This position is typically performed in a standard office setting with occasional travel and work in a trade show environment.
o Must be prepared for overnight travel up to 20%.
