Job Overview

As a design/build engineering firm and general contractor specializing in food and beverage processing facilities, Dennis Group relies on its Administrative Project Managers (Project Controllers) to play a crucial role in our project execution team.

Our industrial projects are intricate and necessitate extensive coordination for successful outcomes.

Administrative Project Managers (APM) are tasked with delivering administrative project management services that support all planning, engineering, billing, and construction activities.

In this role, you will frequently collaborate with project managers, architects, and various engineering professionals.

APMs are expected to embody Dennis Group's corporate values, demonstrating responsibility, trustworthiness, fairness, honesty, and respect while fostering relationships through competence and reliability.


Key Responsibilities
  • Manage project accounting, budgeting, and cost oversight (invoices, payments, diverse client billing types, data management, audits, etc.)
  • Comprehend project management budget worksheets, including Cash Flow, Hours, and SOV Tabs.
  • Engage with clients as necessary.
  • Work independently on most projects.
  • Establish and monitor multiple currencies within project budgets.
  • Collaborate with project managers to develop budgets, including fee management and engineer hours.
  • Audit project budgets against the PFT for lump sum projects.
  • Understand time and material invoicing requirements and review processes.
  • Make corrections and manage cross-currency invoicing within the ERP system.
  • Oversee third-party relationships with vendors and suppliers.
  • Prepare and manage third-party agreements, including understanding brokerage requirements, negotiations, and contract modifications.
  • Facilitate vendor payment requests and collaborate with project managers for release.
  • Establish workflows with project managers and train project teams.
  • Prepare and manage project bid packages/documents and pre-bid processes.
  • Create all project templates, including bidding and procurement templates.
  • Procure project services and equipment (rentals, PPE, etc.).
  • Maintain project reports and logs.
  • Develop and sustain project schedules.
  • Prepare permit applications.
  • Support construction management team with job site setup.
  • Coordinate project close-out activities (vendor final invoicing, reconciliation, etc.).
  • Encourage continuous and effective communication among project participants, including internal and external clients and partners.
  • Research best practices in administrative project management.
  • Support talent development within the organization.
  • Address complex issues and tasks with minimal supervision while advising team members on solutions.

Required Education, Skills, and Experience
Successful APMs at Dennis Group are organized, professional, self-motivated, and energetic individuals with exceptional communication and interpersonal skills.

Additionally, you should possess:
  • A Bachelor's degree in Construction Management, Construction Engineering, Business Management, or a related field (preferred).
  • 4-7 years of experience in a Construction, Engineering, or Architectural firm.
  • 4-7 years of experience in project budgeting, scheduling, third-party agreements, and project reporting.
  • 4-7 years of experience coordinating project efforts from bid packages to close-out activities.
  • 3+ years of daily Excel usage, with proficiency beyond beginner level, including experience with formulas, pivot tables, charts, and macros.
  • Proficiency in MS Office (daily use, capable of learning new functions).
  • Strong multitasking abilities.
  • A capacity to manage and prioritize multiple concurrent responsibilities.
  • A keen attention to detail.
  • Familiarity with MS Project, as well as Deltek, Viewpoint, and Timberline is advantageous.

Travel Requirement
All new hires should anticipate spending time in both the office and the field during their initial training and development period.

Physical Requirements
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds occasionally.
