Job Overview

We are looking for a detail-oriented and efficient Office Administrator to oversee various administrative functions within our organization. The successful candidate will be adept at organizing meetings, managing vendor partnerships, and executing a range of office tasks to facilitate seamless operations.

Core Responsibilities:

  • Meeting Management:
  • Organize and schedule meetings, including venue arrangements, agenda preparation, and material distribution.
  • Ensure all logistical aspects for both in-person and virtual meetings are coordinated effectively.
  • Document and circulate meeting minutes as necessary.
  • Vendor Relations:
  • Serve as the main contact for vendors and service providers.
  • Oversee vendor relationships, including negotiating agreements and monitoring service quality.
  • Manage invoice processing and ensure timely payments.
  • Administrative Functions:
  • Support daily office operations, including inventory management of supplies and equipment.
  • Prepare and handle correspondence, reports, and documentation.
  • Assist in the onboarding process for new hires, including orientation and setup.
  • Office Management:
  • Maintain an organized and efficient workspace.
  • Procure office supplies as necessary.
  • Implement and oversee office systems and procedures.
  • Coordinate office maintenance and liaise with building management as required.
  • Communication:
  • Act as a liaison among departments, staff, and external stakeholders.
  • Manage phone calls, emails, and other communications professionally.
  • Provide support for internal and external events and activities.

Qualifications:

  • Education: High school diploma or equivalent; an associate's or bachelor's degree in business administration or a related field is preferred.
  • Experience: At least 2 years of experience in an administrative or office management capacity.
  • Skills:
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management capabilities.
  • Excellent verbal and written communication skills.
  • Ability to manage sensitive and confidential information with care.
  • Strong problem-solving abilities and meticulous attention to detail.

Candidates should be prepared to work Monday through Friday, with standard office hours.

Job Type: Full-time

Compensation: $40,000 - $45,000 annually
