Receptionist (Part Time)

We are seeking a highly organized and detail-oriented Receptionist to join our team at Tuscan Gardens of Venetia Bay. As a Receptionist, you will be the first point of contact for our company, providing exceptional customer service and administrative support to our guests and staff.
Key Responsibilities:- Greeting and Welcoming Guests: Greet and welcome guests as soon as they arrive at the office, providing a warm and friendly atmosphere.
- Directing Visitors: Direct visitors to the appropriate person and office, ensuring a smooth and efficient experience.
- Phone and Email Management: Answer, screen, and forward incoming phone calls, as well as respond to emails and messages in a timely and professional manner.
- Reception Area Maintenance: Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
- Information Provision: Provide basic and accurate information in-person and via phone/email, ensuring a high level of customer satisfaction.
- Mail and Delivery Management: Receive, sort, and distribute daily mail and deliveries, ensuring timely and efficient processing.
- Office Security: Maintain office security by following safety procedures and controlling access via the reception desk.
- Supply Management: Order front office supplies and maintain inventory of stock, ensuring a smooth and efficient operation.
- Calendar and Scheduling: Update calendars and schedule meetings, ensuring a high level of organization and productivity.
- Travel and Accommodations: Arrange travel and accommodations, and prepare vouchers, as needed.
- Expense Tracking: Keep updated records of office expenses and costs, ensuring accurate and timely reporting.
- Clerical Duties: Perform other clerical receptionist duties, such as filing, photocopying, transcribing, and faxing, as needed.
- Proven Experience: Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Technical Skills: Proficiency in Microsoft Office Suite, hands-on experience with office equipment, and a professional attitude and appearance.
- Communication Skills: Solid written and verbal communication skills, with the ability to be resourceful and proactive when issues arise.
- Organizational Skills: Excellent organizational skills, with the ability to multitask and prioritize tasks effectively.
- Customer Service: A customer service attitude, with a focus on providing exceptional service to our guests and staff.
- Education: A high school degree, with additional certification in Office Management a plus.
